Job Summary:
The Service Advisor acts as the main liaison between customers and the workshop. They are responsible for understanding customer vehicle concerns, scheduling service work, coordinating with technicians, and ensuring a smooth, transparent, and satisfactory service experience for every customer.
Key Responsibilities:
Customer Interaction & Service Booking
Greet customers courteously and professionally, in person or over the phone.
Listen to customers’ concerns and accurately document vehicle symptoms and service requests.
Open job cards and prepare service estimates in line with company policies.
Schedule service appointments and manage daily workshop load efficiently.
Job Coordination & Communication
Communicate customer concerns clearly to technicians and ensure correct diagnosis.
Follow up with the workshop on job progress and ensure timely completion.
Inform customers about additional work required, obtain approvals, and explain costs transparently.
Maintain continuous communication between customers and the workshop team.
Quality & Delivery
Inspect completed jobs to ensure all work has been performed correctly.
Arrange vehicle delivery after a final quality check and ensure customer satisfaction.
Explain invoices, performed repairs, and next maintenance schedule to customers.
Documentation & Reporting
Maintain accurate job records, estimates, and invoices.
Update the DMS (Dealer Management System) regularly with job status.
Prepare daily reports and assist the Service Manager with service performance metrics.
Customer Retention & Relationship Management
Handle customer complaints promptly and professionally.
Promote service packages, accessories, and value-added services.
Follow up with customers post-service to ensure satisfaction and encourage repeat business.
Qualifications & Skills Required:
Diploma or Degree in Automobile Engineering / Mechanical Engineering (preferred).
2–5 years of experience as a Service Advisor or in a customer-facing role in an automobile workshop.
Strong knowledge of vehicle systems and maintenance requirements.
Excellent communication and interpersonal skills.
Proficient in MS Office and Dealer Management Systems (DMS).
Customer-oriented attitude with problem-solving ability.
Ability to multitask and work under pressure.
