Key Responsibilities
Office Operations & Logistics: Manage front desk duties, coordinate office supplies, and maintain the facility. In an OOH company, this often involves coordinating with maintenance crews for billboards, unipoles, and transit media.
Documentation & Reporting: Prepare, maintain, and update records for client contracts, vendor agreements, and site records (hoardings/media assets).
Client & Vendor Coordination: Serve as a point of contact for external vendor communications, such as printers, electricians, or site landlords.
Billing & MIS Support: Support the accounts team by processing invoices, tracking payments, and updating Management Information System (MIS) data.
Travel and Site Visits: Organize travel logistics for team members visiting media sites.
Vendor Compliance: Ensure all site permissions, legal documents, and vendor contracts are valid and up to date.
Requirements and Skills
Experience: 2–4 years of experience in a similar administrative role, preferably within an advertising or media agency.
Software Proficiency: Strong knowledge of MS Office, particularly Excel for tracking assets and invoicing, and Power point for proposals.
Communication: Excellent verbal and written communication skills to liaise with clients, vendors, and staff at all levels.
Organization: Highly organized with the ability to prioritize tasks in a fast-paced environment.
Education: Bachelor’s degree in business administration, Management, or a related field.
