Purchase Executive

We are looking for a Purchase Executive to join our team at All Gift Studio Private Limited. The role involves managing and updating information accurately and efficiently, supporting key data management processes, and performing various administrative tasks. The position offers ₹20000 - ₹25000 and opportunities for growth.

Key Responsibilities:

• Ensure that the data remains accurate, accessible, and contributes to smooth operations.

• Verify data accuracy, make corrections, and identify irregularities in a timely manner.

• Organize and maintain physical and digital records for easy access and retrieval.

• Support various administrative tasks when needed to assist other departments.

• Generate reports and summaries for internal teams to help in decision-making processes.

• Maintain confidentiality of sensitive information at all times.

Job Requirements:

The minimum qualification for this role is Graduate and 2 - 3 years of experience. The role requires excellent attention to detail, a high level of accuracy, strong organizational skills, and the ability to manage multiple tasks efficiently. Candidates must be open to a 6 days working.• Negotiate purchase rates, terms, and contracts with suppliers to secure the best possible cost advantage while maintaining quality and delivery timelines.

• Prepare and process purchase orders in accordance with company policies and procedures.

• Monitor market price trends and conduct regular cost analysis to support strategic rate negotiations.

• Ensure proper documentation of all purchase activities, contracts, and agreements.

• Coordinate with stores and production teams to maintain optimum inventory levels and prevent stockouts or overstocking.

• Develop and maintain a reliable supplier database, conduct periodic performance evaluations, and build long-term vendor relationships.

• Work closely with Accounts/Finance teams for rate verification, payment processing, and reconciliation of purchase discrepancies.

• Guide, supervise, and take follow-up of subordinates’ work to ensure timely completion of procurement tasks.

• Evaluate and analyze data, quotations, and purchase information submitted by subordinates for accuracy and decision-making.

• Prepare specific purchase reports such as:

 – Number of inquiries raised

 – Quotations collected and analyzed

 – Purchase Orders (POs) generated

• Generate regular management reports and summaries suitable for the gifting industry, providing insights into vendor performance, cost trends, and material procurement efficiency.

• Continuously explore opportunities for cost reduction, process improvement, and value addition within the procurement function.

• It is a Full Time Back Office / Data Entry job for candidates with 2 - 3 years of experience.
