HR Executive – HR & Office Administration
Job Summary
We are looking for a responsible and organized HR Executive who can independently manage day-to-day HR activities as well as overall office administration. The person will be responsible for employee coordination, attendance, leave management, documentation, office discipline, recruitment support, and ensuring smooth functioning of daily office operations.
Key Responsibilities
1. HR & Employee Management
Manage daily employee attendance, late marks, half-days, early leaves and absenteeism.
Maintain employee records, personal files and HR documentation.
Manage employee leave applications, approvals and leave records.
Coordinate employee joining and exit formalities.
Prepare and maintain appointment letters, HR documents, agreements and other employee-related paperwork.
Handle employee queries related to HR policies, attendance, salary, leaves and company procedures.
Ensure employees follow company rules, policies and workplace discipline.
Coordinate with management/directors regarding employee-related matters.
2. Recruitment & Hiring
Handle job postings and coordinate with recruitment platforms/agencies.
Shortlist candidates as per the company's requirements.
Schedule interviews with management.
Coordinate the complete joining process of selected candidates.
Maintain recruitment records and candidate databases.
Collect and verify required documents from new employees.
3. Payroll & Salary Coordination
Maintain accurate attendance and leave data for salary processing.
Coordinate with the accounts team for monthly salary processing.
Track deductions related to leave, late coming, absence or other applicable company policies.
Maintain salary-related employee records and documentation.
4. Office Administration
Manage overall day-to-day office administrative activities.
Ensure the office is properly maintained and all necessary supplies are available.
Coordinate office stationery, pantry requirements, housekeeping and other regular office requirements.
Maintain records of office purchases, expenses, assets and supplies.
Coordinate with vendors, service providers and other external parties whenever required.
Monitor office cleanliness, discipline and general working conditions.
Ensure important office documents and records are properly maintained.
5. Employee Coordination
Communicate company announcements, policies, holidays and important instructions to employees.
Coordinate meetings, internal activities and employee-related requirements.
Assist management in implementing new HR policies and procedures.
Address routine employee concerns and escalate important matters to management.
Maintain professional communication between employees and management.
6. Compliance & Documentation
Maintain proper HR files and employee documentation.
Ensure required employee documents are collected and updated.
Maintain records related to attendance, leaves, joining, resignation and exit formalities.
Support management in maintaining compliance with applicable employment and company requirements.
7. General Management Support
Assist directors/management with HR and administrative tasks as required.
Prepare HR reports, attendance reports and other office-related reports.
Coordinate with different departments to ensure smooth office operations.
Handle confidential employee and company information responsibly.
Perform any other HR, administrative or office-related duties assigned by the directors/management.
Required Skills

Previous experience in HR and office administration will be preferred.
Preferred Experience
1–3 years of experience in HR, administration or a similar role.

Key Objective
The HR Executive will be responsible for ensuring that employees, HR processes and day-to-day office administration are properly managed, while supporting the management in maintaining a disciplined, organized and productive workplace.
