We are hiring for a Female Event Manager, who will be responsible for overseeing the entire lifecycle of an event, from the initial planning and design to post-event evaluation. The duties will vary depending on the type of event, which can range from corporate conferences to weddings and festivals.
Pre-event planning and coordination
· Initial strategy: Meet with clients or stakeholders to determine the event's goals, target audience, budget, and scope.
· Budget management: Create and manage the event's budget, track expenses, and negotiate with vendors to secure the best value. Some event managers also handle invoicing and sponsorship negotiations.
· Vendor and supplier management: Research, select, and manage relationships with external vendors, such as caterers, entertainers, security, and technical support. They also manage contracts and ensure vendors meet quality standards.
· Venue selection and logistics: Scout and secure appropriate venues. They manage all logistical details, including transportation, accommodation, catering, and equipment setup.
· Marketing and promotion: Develop and execute marketing strategies to attract attendees, which may include managing social media campaigns, email marketing, and creating promotional materials.
· Risk management: Identify potential issues and develop contingency plans to address unforeseen challenges, such as technical failures, security threats, or bad weather.
· Registration and ticketing: Set up and manage the registration and ticketing process to ensure it is efficient and user-friendly.
On-site execution and supervision
· Oversee day-of operations: Supervise the setup and teardown, ensuring that all elements like decor, lighting, and seating arrangements are executed according to plan.
· Manage staff and vendors: Coordinate the event team and vendors, providing clear briefings and delegating tasks to ensure smooth operations.
· Troubleshoot issues: Address and resolve any issues or emergencies that arise during the event to minimize disruptions and ensure a positive guest experience.
· Communicate with clients and attendees: Act as the main point of contact, handling questions and making real-time adjustments as needed.
Post-event duties
· Evaluation and reporting: Conduct post-event assessments by gathering feedback from attendees, organizers, and staff through surveys and meetings.
· Analysis: Analyze event data and feedback to measure the event's success against its original goals.
· Financial reconciliation: Review the budget and reconcile all financial aspects of the event.
· Documentation: Maintain detailed records of event activities and performance metrics to help plan and improve future events.
