HR & ADMINISTRATION – JOB ROLE
Key Responsibilities
· Maintain and update employee records, personnel files, and HR databases.
· Prepare offer letters, appointment letters, employment contracts, confirmation letters, warning letters, and other HR documents.
· Assist in the recruitment process, including job postings, candidate screening, interview scheduling, and candidate communication.
· Manage employee onboarding, induction, documentation, and exit formalities.
· Monitor and maintain employee attendance, leave records, timesheets, and attendance regularization.
· Coordinate payroll-related information with the Accounts/Finance team, including attendance, leave, deductions, and employee changes.
· Ensure compliance with applicable labour laws, statutory requirements, and company HR policies.
· Communicate and implement HR policies, rules, procedures, and employee notices.
· Handle employee queries related to attendance, leave, salary, benefits, policies, and other HR matters.
· Coordinate employee training, meetings, events, employee engagement activities, and welfare initiatives.
· Maintain confidentiality and security of employee and company information.
· Maintain HR reports, registers, trackers, and documentation as required by management.
· Coordinate with external agencies, consultants, and service providers for HR and administrative requirements.
· Handle general administration work, including office maintenance, facilities management, housekeeping, security, utilities, repairs, and other administrative requirements.
· Ensure proper maintenance and upkeep of office premises, equipment, and facilities.
· Coordinate purchase and availability of office stationery, pantry supplies, uniforms, and other administrative materials.
· Support management in implementing administrative policies and improving office processes.
· Perform any other HR and administrative duties assigned by management.
Required Skills
· Strong organizational and administrative skills.
· Excellent communication and interpersonal skills.
· Good knowledge of HR policies, procedures, and applicable labour laws.
· Proficiency in Microsoft Office, especially Word and Excel, and HR/attendance software.
· Good knowledge of payroll and attendance processes.
· Strong attention to detail and accuracy.
· Excellent time management and multitasking abilities.
· Ability to maintain confidentiality and handle sensitive employee information professionally.
· Strong problem-solving and coordination skills.
· Ability to communicate effectively with employees, management, vendors, and external agencies.
· Proactive approach with the ability to independently manage day-to-day HR and administrative activities.
