We are looking for a Admin Supervisor to join our team at Belvaa Senior Care Private Limited to manage the full-cycle recruitment process for the organization. The tasks include identifying potential candidates, interviewing, and evaluating them. You will be responsible for updating job ads and conducting background checks of candidates. The position offers an in-hand salary of ₹25000 - ₹30000 and growth opportunities.
Key Responsibilities:
1. Operations Management
• Plan, supervise, and ensure smooth day-to-day functioning of all departments (nursing, housekeeping, kitchen, maintenance, recreation, etc.).
• Develop and enforce policies, procedures, and protocols for service delivery, safety, hygiene, resident care.
• Maintain facility infrastructure, ensure upkeep, timely maintenance and repair of equipment.
2. Staff & Human Resources Management
• Recruit and select staff: nurses, caregivers, support staff, administrative personnel.
• Train, mentor, and evaluate performance of staff; arrange continuous professional development.
• Define job descriptions, shifts, rosters; ensure adequate staffing and coverage.
• Foster good staff morale; address grievances, conflicts.
3. Resident Care & Well-being
• Oversee resident admission, assessment, individualized care planning (health, dietary, mobility, psychosocial).
• Ensure physical, emotional, social needs of residents are met; plan activities, therapies, recreation, etc.
• Monitor health status, ensure medical care and medication management in coordination with clinical staff.
• Ensure dignity, privacy, safety of residents.
4. Quality Assurance & Compliance
• Ensure the facility meets all regulatory, licensing, legal requirements (local/state/national).
• Maintain records for audits / inspections.
• Implement safety protocols: fire, infection control, emergency response, risk management.
• Monitor and evaluate quality metrics (resident satisfaction, incident reports, safety audits).
5. Financial & Budgetary Oversight
• Prepare and manage budgets: operational costs, staff salaries, supply procurement, maintenance etc.
• Monitor expenditures vs budget; optimize costs without compromising care quality.
• Handle billing, invoicing, payments, reimbursement (if applicable).
• Oversee procurement: supplies, food, medical supplies, equipment – negotiating with vendors.
6. Communication & Stakeholder Management
• Maintain regular communication with residents and their families: updates, grievance handling, expectations.
• Coordinate with medical professionals and external agencies (hospitals, labs etc.).
• Report to owners or board / higher management about facility performance, challenges, plans.
• Represent the facility in community or regulatory forums if needed.
7. Safety, Hygiene & Environment
• Oversee environmental cleanliness, sanitation, food safety.
• Ensure facility is hazard-free; maintain safe walkways, handrails, emergency exits etc.
• Ensure infection control protocols (especially important post-pandemic).
• Ensure meals are hygienically prepared, dietary needs met.
8. Emergency Preparedness & Crisis Management
• Develop emergency plans: fire, natural disasters, epidemics, power failures etc.
• Conduct drills, train staff on emergency protocols.
• Ensure backup systems (e.g. power, water) are available.
• Manage unforeseen incidents (falls, medical emergencies, etc.).
9. Documentation & Reporting
• Maintain accurate records for residents: medical, care plans, incident reports, progress.
• Track staff records: training, licensing, performance etc.
• Generate periodic reports: financial, operations, quality, regulatory compliance.
• Ensure data privacy & confidentiality.
10. Marketing & Admissions
• Oversee admissions process: evaluating new residents, contracts, capacity.
• Work on facility branding, reputation, outreach to attract new residents.
• Manage relationships with referral sources (hospitals, doctors, community groups).
• Ensure transparency of services, pricing etc to prospective clients.
11. Resource & Supply Management
• Ensure continuous supply of medical, nursing, housekeeping, dietary supplies.
• Manage inventory well to prevent shortage or wastage.
• Vendor management: selecting, negotiating, ensuring quality.
12. Culture & Environment
• Create a caring, respectful, inclusive culture with dignity for elderly residents.
• Encourage social engagement, activities to enhance mental & emotional well-being.
• Promote staff behaviour aligned with values: empathy, patience, integrity.
Job Requirements:
The minimum qualification for this role is Graduate and 3 - 6 years of experience. Knowledge of resume databases and strong verbal and written communication skills are essential. Additional skills like sourcing techniques and sound judgment are a must. Candidates must be open to working 6 days working
