As a receptionist, your main duties involve being the first point of contact: greeting visitors, managing calls, handling mail, scheduling, and providing administrative support, all while maintaining a welcoming and organized front desk environment, ensuring smooth communication and operations for the company.
Core Responsibilities
Guest & Visitor Management:
Greeting, welcoming, directing visitors, managing sign-ins/passes, and offering refreshments.
Communication Handling:
Answering, screening, and forwarding phone calls, replying to emails, and taking messages.
Scheduling & Calendars:
Managing appointment calendars, booking meeting rooms, and coordinating schedules.
Mail & Deliveries:
Receiving, sorting, distributing incoming mail/packages, and arranging outgoing shipments.
Administrative Support:
Data entry, filing, photocopying, preparing documents, and maintaining records.
Office Maintenance:
Keeping the reception area tidy and organized, monitoring and ordering office supplies.
Security & Protocols:
Monitoring building security and adhering to access procedures.
