Position: Secretary to the Managing Director (MD)

Job Summary
The Secretary to the Managing Director is responsible for providing high-level administrative and executive support to the MD. The role involves managing schedules, coordinating meetings, handling confidential correspondence, preparing reports, liaising with internal departments and external stakeholders, and ensuring the smooth functioning of the MD's office.
Key Responsibilities
Manage the MD's calendar, appointments, meetings, and travel arrangements.
Screen calls, emails, and visitors, and prioritize communication.
Draft professional emails, letters, reports, presentations, and meeting minutes.
Coordinate with all hotel departments to ensure timely follow-up on assignments.
Maintain confidential documents, files, and records.
Arrange board meetings, management meetings, and prepare agendas.
Follow up with department heads on pending tasks and deadlines.
Coordinate with government authorities, vendors, consultants, and corporate offices when required.
Handle hotel licenses, statutory documentation, and official correspondence.
Prepare MIS reports, dashboards, and presentations for management review.
Organize events, conferences, and business meetings.
Maintain office supplies and administrative records for the MD's office.
Assist in special projects assigned by the MD.
Ensure complete confidentiality of sensitive business information.
Required Qualifications
Bachelor's degree in Business Administration, Hotel Management, Commerce, or a related field.
3–8 years of experience as an Executive Assistant or Secretary, preferably in the hospitality industry.
Excellent written and spoken English.
Strong knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook).
Good drafting and communication skills.
Ability to multitask and work under pressure.
Professional appearance and positive attitude.
High level of discretion and integrity.
Preferred Skills
Experience in the hotel or hospitality industry.
Knowledge of hotel operations and coordination with various departments.
Experience handling statutory documentation and government office work.
Excellent organizational and time-management skills.
