Key Responsibilities:
Invoice Processing: Create and process sales invoices and delivery challans accurately and in a timely manner.
Data Entry & Record Keeping: Accurately enter and update data regarding inbound/outbound shipments, stock movements, and inventory levels into the database.
Documentation: Prepare outbound paperwork and shipping labels, ensuring all documentation is complete and correct.
Inventory Management Support: Maintain accurate stock records, perform regular stock checks and cycle counts, and reconcile any discrepancies between physical stock and system records.
Error Resolution: Identify and resolve billing or data entry errors, coordinating with team, suppliers, and the accounts team as needed to correct anomalies.
Reporting: Generate necessary reports for inventory status, billing, and daily operations as requested by management.
Communication: Maintain ongoing communication with relevant departments (e.g., Operations team, accounts, logistics) to ensure accurate information delivery and smooth workflow.
Filing & Organization: Manage and organize physical and digital records and documents, ensuring a clear and secure filing system for audit purposes.
Qualifications and Skills:
Education: High school diploma or equivalent is required; an associate's degree or relevant certification is a plus.
Experience: Previous experience in a warehouse, data entry, or administrative role is preferred.
Computer Proficiency: Strong computer skills, including proficiency in Microsoft Office (especially Excel), database systems, and experience with Warehouse Management Software (WMS) or ERP systems (e.g., SAP, Oracle).
Data Entry Skills: Fast and accurate typing speed with a high degree of accuracy is essential.
Attention to Detail: Impeccable attention to detail to ensure accuracy in all data and financial records.
Organizational Skills: Strong organizational and time management abilities to handle multiple tasks and meet deadlines in a fast-paced environment.
Communication: Excellent verbal and written communication skills to effectively coordinate with various teams and external parties.
Problem-Solving: Ability to identify data discrepancies and troubleshoot problems efficiently.
