Job Summary
We are looking for a Back Office Executive to handle day-to-day back-office operations, particularly GeM (Government e-Marketplace) and e-Procurement tender-related work.
The ideal candidate should have practical experience in searching and applying for government tenders, preparing and uploading tender documents, coordinating for quotations and supporting documents, and ensuring timely submission of bids.
Key Responsibilities
Search and identify relevant GeM and e-Procurement tenders on a regular basis.
Review tender documents, eligibility criteria, specifications, terms & conditions and submission requirements.
Prepare and submit GeM bids, tenders, quotations and online applications within prescribed deadlines.
Handle complete tender submission process, including document preparation, scanning, uploading and online submission.
Coordinate with management and other departments for collecting required technical, commercial, financial and statutory documents.
Prepare tender-related documents, declarations, undertakings, forms and other required paperwork.
Maintain proper records of applied tenders, bid dates, EMD, tender fees, submission status and results.
Track tender corrigendums, amendments, extensions and other updates and take necessary action.
Monitor GeM orders, bids, reverse auctions and other portal activities, wherever applicable.
Assist in preparing quotations and other commercial documents as required.
Maintain organized digital and physical records of tender documents and correspondence.
Coordinate with vendors, suppliers and internal teams for required documents, product details and pricing.
Ensure all tender submissions are complete, accurate and submitted before the deadline.
Perform general back-office, data-entry and documentation work as assigned.
Candidate Requirements
Graduate in any discipline.
Minimum 1 year of relevant experience in GeM, e-Procurement, tendering or related back-office work.
Practical knowledge of GeM (Government e-Marketplace) is essential.
Working knowledge of e-Procurement / government tender portals is required.
Good understanding of the tender application and online bid submission process.
Minimum typing speed of 30 WPM.
Good knowledge of written English.
Good knowledge of MS Office, MS Word and MS Excel.
Good internet browsing and online document-uploading skills.
Ability to carefully read and understand tender terms, eligibility requirements and instructions.
Good attention to detail and ability to work within strict deadlines.
Good communication, coordination and follow-up skills.
Should be responsible, organized and capable of working independently.
Preferred Candidates
Candidates with hands-on experience in GeM Bid submission and Reverse Auction will be preferred.
Experience in handling Central/State Government e-Procurement portals will be an advantage.
Candidates residing near the workplace will be preferred.
Candidates having their own two-wheeler/bike and valid driving licence may be given preference.
