Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and executive support to senior management. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling correspondence, maintaining records, arranging travel, and ensuring smooth day-to-day operations of the executive office.
Key Responsibilities
Manage and maintain the executive's calendar, appointments, and meetings.
Coordinate internal and external meetings, prepare agendas, and record meeting minutes.
Handle email correspondence, phone calls, and other communications on behalf of management.
Prepare reports, presentations, letters, and other business documents.
Organize travel arrangements, hotel bookings, visa applications, and transportation logistics.
Maintain confidential files, records, and company documents.
Coordinate with various departments to ensure timely completion of tasks assigned by management.
Follow up on pending matters and provide status updates to management.
Assist in organizing company events, conferences, and business meetings.
Manage office administration and support special projects as assigned.
Liaise with clients, vendors, government authorities, and business associates when required.
Ensure confidentiality and professionalism in all communications and activities.
Required Skills & Qualifications
Bachelor's degree in Business Administration, Commerce, Management, or related field.
3–7 years of experience as an Executive Assistant, Personal Assistant, or similar role.
Excellent verbal and written communication skills in English.
Strong organizational and time-management abilities.
Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
Ability to handle multiple tasks and prioritize effectively.
Strong follow-up and coordination skills.
High level of discretion and confidentiality.
Experience in travel, visa, and event coordination will be an added advantage.
