Job Title: Export Documentation Executive

Job Summary:
The Export Documentation Executive will be responsible for managing the end-to-end export documentation process for rice shipments, ensuring compliance with international trade regulations, and coordinating with internal and external stakeholders to ensure timely and smooth shipment execution.

Key Responsibilities:
1. Export Documentation Management:
o Prepare and verify shipping documents, including Bill of Lading, Commercial Invoice, Packing List, Certificate of Origin, Phytosanitary Certificate, Fumigation Certificate, Insurance Certificate and other regulatory documents.
o Ensure accuracy and compliance with international trade laws, country-specific requirements, and customs regulations.
2. Coordination & Communication:
o Liaise with shipping lines, freight forwarders, CHA (Custom House Agents) and government agencies for smooth documentation processing.
o Work closely with the procurement, sales, and logistics teams to ensure timely shipment execution.
o Maintain communication with clients regarding shipment schedules, documentation, and any queries related to export formalities.
3. Customs & Compliance:
o Ensure all export transactions comply for rice exports.
o Keep track of the latest government policies related to rice exports and implement necessary changes in documentation accordingly.
o Apply for export incentives (MEIS, RoDTEP, etc.) and manage related documentation.
5. Record Keeping & Reporting:
o Maintain organized records of export documents for audit and compliance purposes.
o Prepare reports on shipment status, pending documentation, and export-related transactions for management review.

Key Skills & Competencies:
• Strong knowledge of export documentation (preferably in the rice/agri-commodity sector).
• Familiarity with international trade regulations, LC documentation, and shipping procedures.
• Proficiency in MS Office (Excel, Word, Outlook) and ERP systems.
• Good communication and coordination skills.
• Attention to detail and ability to work under tight deadlines.

Qualifications & Experience:
• Bachelor’s degree in Commerce / Business Administration / International Trade or related field.
• 2-5 years of experience in export documentation.
