Store & Dispatch Executive – Roles & Responsibilities

Key Responsibilities

• Manage inward and outward movement of raw materials, packing materials, finished goods, and other store items.

• Receive materials, verify quantity and specifications against Purchase Orders, invoices, and delivery challans.

• Maintain proper GRN, stock registers, inward/outward records, and inventory documentation.

• Ensure proper storage, identification, labeling, and location-wise arrangement of materials.

• Maintain accurate physical and system stock and conduct periodic stock verification.

• Coordinate with Purchase, Production, Planning, Quality, Sales, and Accounts departments for material and dispatch requirements.

• Prepare and verify dispatch documents, delivery challans, invoices, packing lists, and transport documents.

• Plan and coordinate vehicle arrangement and loading activities as per dispatch schedules.

• Ensure finished goods are properly packed, counted, labeled, and loaded to avoid shortages or damages.

• Coordinate with transporters and drivers and ensure on-time dispatch and delivery.

• Track dispatched materials and follow up on delivery status and pending deliveries.

• Maintain records of shortages, damages, returns, and rejected materials and coordinate for necessary action.

• Follow FIFO/FEFO principles wherever applicable and ensure proper housekeeping of the store and dispatch area.

• Ensure safe handling and stacking of paper, board, cartons, corrugated boxes, inks, adhesives, and other packaging materials.

• Support stock audits and reconciliation and investigate stock discrepancies.

• Ensure compliance with company SOPs, safety rules, quality requirements, and 5S practices.

• Prepare daily/weekly reports related to stock, inward, outward, dispatch, pending orders, and inventory.

• Maintain proper documentation for ISO, customer audits, statutory requirements, and internal audits.

• Supervise and coordinate with store helpers, loaders, and dispatch staff as required.

Education & Experience

• Qualification: Graduate / Diploma in a relevant field.

• Experience: 2–5 years in Store, Dispatch, Warehouse or Logistics, preferably in Printing & Packaging / Manufacturing Industry.

• It is a Full Time Warehouse / Logistics job for candidates with 2 - 5 years of experience.
