Transport Coordinator

Core Responsibility

Ensure the right vehicle is placed at the right location, at the right time, at the best cost for smooth transportation operations.

Vehicle Planning & Placement

• Arrange vehicles as per shipment requirements (size, type, capacity)

• Coordinate with transporters for timely vehicle placement

• Plan routes and dispatch schedules

• Ensure availability during peak load periods

• Allocate vehicles based on urgency and priority

Vendor & Driver Coordination

• Communicate with transport vendors / fleet owners

• Confirm vehicle details (number, driver name, documents)

• Track driver readiness and reporting time

• Resolve delays or last-minute cancellations

• Maintain transporter relationships

Load & Dispatch Coordination

• Coordinate with warehouse for loading schedules

• Ensure vehicle reaches loading point on time

• Share loading instructions with driver

• Monitor loading completion and departure time

• Confirm proper load securing

Tracking & Monitoring

• Track vehicles in transit (GPS / phone updates)

• Provide real-time updates to operations team

• Handle breakdowns, route issues, or delays

• Ensure on-time delivery performance

Documentation & Compliance

• Verify vehicle documents (RC, insurance, permits, fitness)

• Ensure driver documents are valid (license, ID)

• Maintain trip sheets, PODs (Proof of Delivery)

• Ensure compliance with company and legal requirements

• Prepare dispatch reports

Cost Control & Negotiation

• Negotiate freight rates with transporters

• Optimize vehicle utilization

• Reduce empty runs and waiting time

• Control detention and demurrage costs

Issue Handling

• Manage vehicle shortages or emergency requirements

• Arrange backup vehicles if needed

• Handle accident or breakdown situations

• Coordinate for route diversions or regulatory issues

Reporting & Communication

• Maintain daily vehicle placement reports

• Update management on dispatch status

• Track transporter performance

• Maintain records of trips and billing details

Skills Required
