Logistics & Documents Executive

Job Description

We are looking for a Logistics & Documents Executive to manage day-to-day logistics operations, shipment coordination, documentation, freight bookings, and communication with suppliers, shipping lines, transporters, CHAs, survey agencies, and internal teams.

Key Responsibilities

- Provide regular updates to the Sales Team regarding freight and shipment movements.

- Arrange transportation services and coordinate trucks for pickup from supplier locations.

- Supervise loading and cargo movement at supplier locations.

- Place bag orders after completing the required quality checks.

- Manage ocean and ground transportation operations efficiently.

- Obtain and compare freight quotations from shipping lines and freight forwarders.

- Coordinate and book vessels with leading shipping lines.

- Compare and negotiate freight rates, including freight, documentation, LIFO/FIFO and other applicable charges.

- Coordinate with Customs House Agents (CHA) for cargo unloading, loading, storage and related documentation.

- Ensure cargo is stored properly and maintained in compliant, pest-free conditions.

- Ensure timely VGM filing within prescribed cut-off dates.

- Coordinate with survey agencies and laboratories for quality inspections and ensure compliance with contractual requirements.

- Verify freight invoices for India and MTT shipments, wherever applicable.

- Arrange empty container positioning in India and overseas, including pickup transportation.

- Coordinate with carriers regarding vessel and shipment cut-off dates to ensure timely cargo movement.

- Supervise cargo stuffing operations and coordinate quality inspections with surveyors.

- Prepare and submit monthly stock statements on the 30th/31st of every month.

- Maintain proper logistics records, shipment documents and operational reports.

Skills Required

- Good communication and coordination skills.

- Basic knowledge of logistics, transportation and shipping operations.

- Good documentation and record-keeping skills.

- Ability to coordinate with multiple vendors and stakeholders.

- Basic knowledge of MS Excel and MS Office.

- Good follow-up and time-management skills.

- Ability to work in a fast-paced logistics environment.

Eligibility

- Qualification: Graduate / Diploma in any relevant field.

- Experience: Freshers and experienced candidates can apply.

- Candidates with experience in logistics, shipping, freight forwarding, export-import or documentation will be preferred.

Salary

₹15,000 – ₹20,000 per month, depending on skills and experience.
