Location: Hyderabad
Role Purpose
To manage and execute end-to-end import/export operations, logistics coordination, DGFT compliance, customs documentation, statutory requirements, and shipment-related activities to ensure smooth and timely movement of goods while maintaining regulatory compliance and operational efficiency.
Key Responsibilities:
Export & Logistics Operations
Coordinate with freight forwarders, CHA, airlines, shipping lines, and transporters for export shipment execution and customs clearance.
Handle email correspondence and operational communication with logistics partners and service providers.
Plan freight schedules and monitor cargo movement from dispatch through final delivery.
Track export shipments and proactively resolve operational issues impacting timelines.
Documentation Management
Prepare and maintain complete export documentation sets including invoices, packing lists, shipping bills, declarations, and supporting documents.
Handle import documentation and coordinate with stakeholders for smooth import clearance processes.
Ensure documentation accuracy and timely submission for all import/export activities.
DGR & Regulatory Compliance:
Prepare and submit DGR declarations and ensure compliance with hazardous cargo regulations where applicable.
Ensure adherence to shipment-related statutory and regulatory requirements.
Certification & Trade Documentation:
Apply for and obtain Certificates of Origin (COO) through Pharmexcil, Chamber of Commerce, EIA, and relevant authorities.
Coordinate with agencies for export certification requirements and document approvals.
DGFT Management & Trade Authorizations:
Manage IEC modifications, annual updates, and compliance activities on the DGFT portal.
Apply and process DGFT schemes including:
Advance Authorization
E-BRC
EODC
Handle closure of advance licenses, export obligation extensions, and associated DGFT requirements.
Process and manage Star Export House applications and coordinate responses to DGFT queries.
Customs & Incentive Management
Coordinate customs bond documentation, bond waivers, and bond cancellation activities.
Apply for and monitor RoDTEP incentives and follow up with customs authorities for drawback release.
Ensure timely closure and reconciliation of customs-related activities.
Financial Coordination & Reporting
Coordinate with Accounts regarding:
Advance payments
Export realization updates
Import and transportation bill submissions
Support financial documentation and reconciliation activities.
MIS & Record Management
Maintain export sales registers and shipment databases.
Track shipment status, outstanding claims, and operational performance records.
Prepare periodic MIS reports related to export/import operations and DGFT activities.
Statutory & Compliance Support
Support documentation and implementation activities related to AEO certification.
Manage ECGC online compliances and maintain related records.
Ensure compliance with applicable government regulations and export policies.
Key Competencies
Understanding of DGFT regulations and export-import procedures
Knowledge of customs processes and international logistics
Experience in export documentation and trade compliance
Familiarity with DGFT portal, ICEGATE, Pharmexcil, ECGC, and customs systems
Strong coordination and stakeholder management skills
Attention to detail and documentation accuracy
Proficiency in MIS reporting and Microsoft Excel
Preferred Experience
2-3 years in Import–Export operations, DGFT compliance, and logistics management within Pharma / API / International Trade environments.
