Job Summary

We are looking for an experienced and detail-oriented Export Coordinator to manage export documentation, shipment coordination, logistics, and communication with international customers, freight forwarders, customs brokers, and shipping lines. The candidate should have hands-on experience in export operations, international shipping procedures, and preparation of export-related documents.

The ideal candidate should ensure timely shipment execution, accurate documentation, compliance with applicable export regulations, and smooth coordination between internal departments and external logistics partners.

Key Responsibilities

1. Export Documentation

• Prepare and verify export documents, including commercial invoices, packing lists, shipping instructions, and shipping bills.

• Coordinate the preparation of certificates of origin, bills of lading, airway bills, and other documents as required.

• Maintain export records and ensure documentation accuracy.

• Coordinate with customs brokers and freight forwarders for customs clearance and shipment processing.

2. Shipment & Logistics Coordination

• Coordinate export shipments through sea, air, and road transportation, as applicable.

• Arrange bookings with shipping lines and freight forwarders.

• Monitor shipment schedules, dispatch status, and delivery timelines.

• Track containers and shipments and proactively resolve delays.

• Coordinate with the Stores, Production, Purchase, and Dispatch teams to ensure timely shipment readiness.

3. International Customer Coordination

• Communicate with overseas customers regarding order status, dispatch schedules, and shipping documents.

• Share shipment updates and tracking details with customers.

• Coordinate with the Sales and Export teams to ensure customer requirements are met.

• Respond to customer queries related to shipments and export documentation.

4. Customs & Regulatory Compliance

• Coordinate customs clearance and documentation with customs brokers.

• Ensure compliance with applicable export procedures, DGFT requirements, and relevant customs regulations.

• Assist with documentation related to the Importer Exporter Code (IEC), GST, and other export-related registrations, where applicable.

• Maintain records required for export incentives, refunds, and statutory compliance, as applicable.

5. Banking & Payment Coordination

• Coordinate with the Accounts and Finance team regarding export invoices and payment follow-ups.

• Assist with export payment documentation and bank submissions.

• Support documentation related to Letters of Credit (LC), bank negotiation, and export remittances, where applicable.

• Track outstanding export payments and maintain customer-wise records.

6. Order Processing & Reporting

• Maintain export order records, shipment trackers, and dispatch schedules.

• Prepare regular MIS reports covering shipments, pending orders, documentation status, and delivery timelines.

• Coordinate with internal teams to resolve order execution issues.

• Maintain systematic records of export transactions and customer correspondence.
