Export Coordinator manages the entire international shipping process, from order to delivery, handling crucial documentation (invoices, packing lists, Bills of Lading), booking transport (air/ocean), ensuring trade compliance (customs, regulations), tracking shipments, and communicating with clients, carriers, and customs brokers to ensure smooth, timely delivery of goods across borders.
Key Responsibilities
Documentation: Prepare, review, and submit all export documents (Commercial Invoices, Packing Lists, AES filings, Bills of Lading) accurately and on time.
Logistics: Coordinate bookings with carriers (airlines, shipping lines, truckers) and manage shipment tracking from origin to destination.
Compliance: Ensure adherence to international trade laws, export controls, and company policies, staying updated on changes.
Communication: Act as a liaison between sales, planning, warehouse, customers, freight forwarders, and overseas agents.
Customer Service: Provide quotes, update clients on shipment status, and resolve issues like delays or damages.
Financials: Assist with billing, manage freight costs, and ensure payment records are accurate.
Essential Skills & Qualifications
Strong organizational, problem-solving, and communication skills.
Proficiency in MS Office (Word, Excel, Outlook) and data entry.
Knowledge of export/import regulations, incoterms, and trade compliance.
