The Dispatch Executive is responsible for ensuring the timely, accurate, and efficient dispatch of finished goods to customers, distributors, and transporters. The role includes preparing dispatch documentation, coordinating with production, stores, logistics, and sales teams, maintaining dispatch records, and ensuring compliance with company procedures.

Key ResponsibilitiesDispatch Operations

• Plan and execute daily dispatch schedules.

• Ensure on-time dispatch of finished goods as per customer orders.

• Verify dispatched quantities against Sales Orders, Delivery Challans, and Invoices.

• Coordinate with the production and store departments for material availability.

• Arrange loading of vehicles and supervise dispatch activities.

• Ensure proper packaging, labeling, and palletization before dispatch.

Documentation

• Prepare and verify:

• Delivery Challans

• Tax Invoices

• E-way Bills

• Packing Lists

• Transport Documents

• Maintain dispatch registers and shipment records.

• Update dispatch details in ERP/Excel on a daily basis.

Inventory Coordination

• Coordinate with the Stores department to ensure accurate stock availability.

• Verify material before dispatch to avoid shortages or incorrect shipments.

• Report stock discrepancies immediately.

• Assist in stock reconciliation whenever required.

Logistics Coordination

• Coordinate with transporters for vehicle availability.

• Track shipments until delivery.

• Follow up with transporters regarding POD (Proof of Delivery).

• Resolve transportation-related issues and delivery delays.
