Billing and Inventory Management Executive

Job Summary:

We are seeking a detail-oriented Billing & Documentation Executive to manage our distributor-to-client supply chain documentation. You will be responsible for converting sales orders into professional quotations, managing the dispatch process through delivery challans, and ensuring final tax invoices are accurate and compliant with GST or local tax regulations.

Key Responsibilities

• Quotations & Invoicing: Prepare and send accurate price quotations to hospitals and pharmacies based on current inventory and approved price lists.

• Delivery Challans (DC): Generate Delivery Challans for all outward consignments to track the physical movement of goods before final billing.

• Stock Reconciliation: Ensure that quantities listed on delivery challans match physical stock and are correctly converted into final Tax Invoices.

• Account Management: Maintain up-to-date records of client balances and follow up on outstanding payments to maintain healthy cash flow.

• Dispatch Coordination: Work closely with the warehouse team to ensure that delivery notes, e-way bills and invoices are handed over to the logistics partner.

• Reporting: Prepare weekly reports on pending orders, billed amounts, and unreconciled delivery challans.

  Required Qualifications & Skills

  • Experience: 1–2 years in billing or back-office operations. Freshers with the right skills will also be considered.

  • Software Proficiency: Strong hands-on experience with Microsoft Excel and other Microsoft office Softwares. Knowledge of accounting software (e.g., Tally or Zoho Inventory) will be an added advantage.

  • Accuracy: High level of precision in data entry to prevent discrepancies in medical supply quantities or batch numbers.
