Senior Sales Co-ordinator

2. Key Responsibilities

A. Sales Coordination

• Coordinate with the sales team, customers, distributors, and dealers.

• Handle customer enquiries, quotations, and order confirmations.

• Maintain regular follow-ups with existing and potential customers.

• Ensure timely communication regarding order status, pricing, and delivery schedules.

• Resolve customer queries and coordinate with relevant departments.

B. Order Processing & Follow-up

• Prepare and maintain Sales Orders, Purchase Orders, quotations, and invoices.

• Monitor orders from confirmation to production and final dispatch.

• Coordinate with Production, Merchandising, Stores, and Dispatch teams.

• Follow up on pending orders, delivery commitments, and customer requirements.

• Ensure accurate order documentation and timely updates.

C. Sales MIS & Reporting

• Prepare daily, weekly, and monthly sales reports.

• Maintain customer databases, sales records, and order trackers.

• Monitor sales targets, achievements, pending orders, and outstanding payments.

• Prepare MIS reports and presentations for management reviews.

• Maintain accurate data in ERP/CRM systems and Excel.

D. Payment & Outstanding Follow-up

• Coordinate with customers regarding pending payments.

• Follow up on outstanding invoices and payment commitments.

• Coordinate with the Accounts Department for payment reconciliation.

• Maintain customer-wise outstanding reports.

E. Team Support & Process Improvement

• Support the Sales Manager and Business Development Team.

• Assist in preparing sales plans, reports, and presentations.

• Monitor team follow-ups and ensure timely closure of customer enquiries.

• Identify coordination gaps and suggest improvements in sales processes.

3. Required Skills

Technical Skills

• Advanced MS Excel (VLOOKUP, Pivot Tables, MIS Reports).

• MS Office – Word, Excel, PowerPoint.

• ERP / CRM software knowledge.

• Sales Order Processing and Documentation.

• MIS Reporting and Data Management.

• Knowledge of apparel / garment manufacturing processes is preferred.
