Job Purpose
The Sales Coordinator is responsible for supporting the sales team by coordinating purchase follow-ups, client communication, invoicing, warehouse coordination, and documentation to ensure smooth execution of sales orders from confirmation to dispatch.
Key Responsibilities
1. Purchase Coordination
• Follow up with the Purchase team to confirm material availability against sales orders
• Share timely updates with the sales team to avoid delivery or commitment delays
• Ensure continuous coordination to support on-time order execution
2. Invoice Processing (ERP)
• Create accurate sales invoices in ERP with complete details including pricing, GST, delivery terms, and client information
• Share invoices with clients and internal teams via email within defined timelines
• Ensure minimal errors and rework in invoice generation
3. Client Coordination
• Act as a single point of contact for assigned clients (4–5 clients)
• Coordinate on order confirmation, dispatch status, documentation, and queries
• Ensure timely communication and closure of client requirements
4. Sales Team Coordination
• Coordinate closely with sales team members
• Provide real-time updates on orders, dispatch schedules, invoices, and PI status
• Support the sales team in meeting customer commitments
5. Warehouse Coordination
• Coordinate with Pune warehouse Delhi warehouse and Bhiwandi Godown
• Confirm stock availability, dispatch planning, and material movement
• Follow up multiple times daily with warehouses to ensure timely dispatch
6. Proforma Invoice (PI) Management
• Prepare Proforma Invoices accurately as per quotations and client requirements
• Share PI with clients on time to enable order confirmation or advance payment
• Track PI approvals and inform sales team for further action
Key Skills & Competencies
• Strong coordination and follow-up skills
• Good communication (verbal & written)
• Working knowledge of ERP systems and MS Excel
• Ability to handle multiple stakeholders (sales, purchase, warehouse, clients)
• Attention to detail and time management
