JOB DESCRIPTION – SALES COORDINATOR

1. JOB PURPOSE
The Sales Coordinator will be responsible for coordinating and supporting the complete sales operations cycle, from receiving sales orders and preparing reports to coordinating billing, production, dispatch, collections, customer service and sales-support activities.
The position will act as a central coordination point between the Sales Team, Customers/Distributors, Accounts, Production, Dispatch, Logistics and Management to ensure smooth and timely execution of sales activities.
2. KEY RESPONSIBILITIES
A. Sales Order & Sales Coordination
• Receive, verify and process sales orders from the sales team/customers.
• Maintain proper records of all sales orders and their status.
• Prepare daily, weekly and monthly sales reports.
• Prepare shipment and dispatch reports.
• Monitor pending orders and ensure timely follow-up.
• Coordinate with concerned departments for timely order execution.
• Keep the Sales Head/Management updated regarding order status and critical issues.
B. Sales Planning & Reporting
• Prepare the Monthly Sales & Collection Plan.
• Maintain and update the PJP (Permanent Journey Plan) for the sales team.
• Prepare sales performance reports division-wise/customer-wise.
• Track sales against targets and highlight gaps.
• Prepare management MIS reports as required.
• Maintain accurate and up-to-date sales data.
C. Order, Billing & Dispatch Coordination
• Coordinate with Accounts for billing and invoice-related requirements.
• Prepare and maintain billing structures as required.
• Follow up with Production for order readiness.
• Coordinate with Dispatch/Logistics for timely shipment.
• Follow up on pending dispatches.
• Ensure bilty/LR details are shared with concerned parties on time.
• Track dispatched orders until delivery wherever required.
D. Collection & Customer Follow-Up
• Conduct daily calling/follow-up for orders and outstanding collections.
• Coordinate with the sales team regarding customer payment status.
• Maintain collection follow-up records.
• Escalate overdue payments to the Sales Head/Management.
• Support the sales team in resolving customer-related commercial issues.
E. Customer & Master Data Management
• Coordinate for opening of new customer/distributor codes.
• Maintain accurate customer master data.
• Ensure required documents and information are available for new customer creation.
• Coordinate with Accounts and other departments for customer onboarding.
F. Pricing, Schemes & Commercial Support
• Prepare and circulate division-wise price lists.
• Prepare scheme papers on a monthly/quarterly basis.
• Ensure the latest price lists and schemes are available with the sales team.
• Coordinate with Management/Sales Head for changes in pricing and schemes.
• Maintain records of approved schemes and commercial terms.
G. Production & Order Execution
• Coordinate monthly production planning based on sales requirements.
• Follow up with Production regarding pending and urgent orders.
• Communicate sales requirements and priorities to the concerned departments.
• Monitor production-related delays affecting customer orders.
• Escalate critical delays to management.
H. Dispute Resolution
• Coordinate resolution of customer/distributor disputes.
• Follow up with Accounts, Dispatch, Production and Sales for dispute closure.
• Maintain a record of open and resolved disputes.
• Ensure customer issues are followed through to closure.
I. Sales Support & Sampling
• Coordinate sampling activities in the display room.
• Prepare sample kits for sales staff.
• Coordinate catalogue preparation and follow-up.
• Arrange courier packing and maintain courier follow-up.
• Support the sales team with required sales literature, samples and promotional materials.
J. Branding & Marketing Support
• Coordinate and follow up on branding requirements.
• Track branding material requirements and execution.
• Coordinate with vendors/internal teams wherever required.
