Job Summary
We are looking for a sharp, commercially-driven Purchase & Procurement Executive with hands-on experience in the modular furniture, wood, or interior industry.
In this role, you will be responsible for sourcing raw materials, finding competitive new vendors, negotiating rates to optimize project costs, issuing Purchase Orders (PO), processing Goods Receipt Notes (GRN), and managing both digital and physical inventory across our factory and warehouse.

Key Roles & Responsibilities
1. Vendor Sourcing & Lead Generation
Proactively scout, generate leads, and onboard new vendors, manufacturers, and distributors for panels, hardware, adhesives, and accessories.
Continuously benchmark supplier prices to identify cost-saving opportunities without compromising quality.
Build and maintain a structured vendor database (rate lists, lead times, credit terms, and performance ratings).
2. Commercial Negotiation & Cost Optimization
Negotiate best commercial terms, bulk discounts, credit periods, and freight arrangements with suppliers (including brands like Hettich, Hafele, Ebco, Blum, Greenlam, Century, etc.).
Review material requisitions from design and factory teams to verify quantities before placing orders.
3. Purchase Operations (PO & GRN)
Generate, approve, and track Purchase Orders (PO) against project bills of materials (BOM) and factory stock thresholds.
Verify incoming dispatches against vendor delivery challans/invoices and issue Goods Receipt Notes (GRN) upon physical inspection.
Manage vendor claims and returns for damaged, defective, or off-spec materials immediately upon delivery.
4. Inventory Control (Physical & Digital)
Maintain real-time digital inventory records in Google Sheets / MS Excel or ERP/accounting software.
Oversee the physical warehouse stock: ensure organized racking, clear batch labeling, and minimum reorder level (ROP) alerts.
Conduct weekly and monthly physical stock audits to reconcile physical stock with digital spreadsheets and investigate discrepancies.
Coordinate with the production supervisor to monitor raw material usage and prevent wastage or dead inventory.
Required Skills & Competencies
Industry Material Knowledge: In-depth familiarity with modular furniture raw materials:
Boards: Plywood (MR/BWP/BWR), MDF, HDF, Particle Board, Prelam boards.
Surfaces: Laminates, Acrylic sheets, Edge-banding tapes (0.8mm, 2mm PVC).
Hardware & Fittings: Soft-close hinges, drawer channels, tandem boxes, corner units, sliding systems, screws, and PUR/EVA glues.
Vendor Management: Proven ability to source new suppliers, build vendor relationships, and conduct assertive negotiations.
Spreadsheet & Documentation Expertise: Advanced working knowledge of MS Excel / Google Sheets (VLOOKUP, SUMIFS, Pivot Tables, inventory tracking sheets) and PO/GRN formats.
Commercial Acumen: Understanding of GST input tax credits on purchases, payment cycles, and logistics costs.
Qualifications & Experience
Experience: 2 to 5 years of proven experience in purchase, procurement, or store inventory management within the Modular Furniture, Interior Fit-out, Kitchen Manufacturing, or Woodworking industry.
Education: Graduate in Any Discipline (B.Com, BBA, B.Sc) or Diploma in Material Management / Supply Chain.
Language: Fluent in Hindi and Marathi; professional written and spoken English for supplier communications.
