Office Supervisor
Position Summary
We are looking for a reliable, hands-on Office Supervisor to take end-to-end ownership of facility upkeep, repair & maintenance, vendor management, and day-to-day administrative operations across our office, upcoming hotel project, and warehouses.

Monday to Saturday, 9:00 AM to 6:00 PM (flexibility required for urgent repairs or vendor visits)
Key Responsibilities
• Repair & Maintenance: Take ownership of all repair and maintenance work across office, hotel site, and warehouses — electrical fittings, plumbing, ACs, generators, power backup, appliances, and general infrastructure — ensuring zero avoidable downtime.
• Vendor Management & Procurement: Identify, onboard, and manage local vendors and contractors for consumables, repairs, and services. Collect and compare quotes, negotiate rates, place purchase orders, and verify bills against actual work/supplies delivered.
• Facility & Housekeeping Oversight: Ensure the office, washrooms, pantry, and common areas are always clean, hygienic, and well-stocked. Supervise housekeeping/office boy staff and their daily task completion.
• Appliance & Equipment Upkeep: Regularly inspect printers, scanners, ACs, generators, kitchen/pantry equipment, and other appliances; schedule preventive maintenance and coordinate timely repairs.
• Multi-Site Coordination: Oversee day-to-day administrative and maintenance needs across the office, the hotel project under construction, and warehouse locations, prioritizing and resolving issues as they arise.
• Inventory & Supplies: Maintain stock of office and pantry consumables, place timely reorders, and keep accurate inventory and purchase records.
• Staff Supervision: Guide and supervise office admin/support staff (office boys, housekeeping) to ensure daily tasks and checklists are completed on time.
• Documentation & Reporting: Maintain records of vendor contracts, AMC schedules, purchase bills, and maintenance logs. Provide regular status updates to management.
Requirements & Qualifications
• Education: Graduate preferred; candidates with a strong track record and relevant experience will also be considered.
• Experience: 4–6 years in office administration, facility management, or site supervision, ideally with exposure to managing multiple locations or vendors.
• Skills: Strong working knowledge of basic electrical, plumbing, AC, and generator systems; proven vendor negotiation and purchase management skills; comfortable using MS Excel/Word for tracking and reporting.
• Leadership: Ability to supervise and coordinate support staff and get things done independently with minimal follow-up.
• Mobility: Willingness to travel between office, hotel site, and warehouse locations; a valid driving license is preferred.
