ROLE OVERVIEW
The HR Recruiter + Ops Admin will manage end-to-end recruitment while providing day-to-day administrative and coordination support to the operations function. The role is responsible for building a reliable talent pipeline, maintaining accurate employee and recruitment records, coordinating joining formalities, and helping the office and operations teams run smoothly. The ideal candidate is proactive, organised, people-oriented, and comfortable working in a fast-paced KPO/BPO environment. The person must be able to balance hiring priorities with routine administrative responsibilities, maintain confidentiality, and communicate professionally with candidates, employees, vendors, and Management.
KEY RESPONSIBILITIES
1. Talent Acquisition & Recruitment
· Manage the complete recruitment cycle: manpower requisition, job posting, sourcing, screening, interview coordination, selection follow-up, offer rollout, and joining.
· Source candidates through job portals, social media, employee referrals, consultancies, colleges, walk-ins, and local recruitment channels.
· Conduct initial HR screening to assess communication, stability, shift readiness, compensation fit, notice period, and role suitability.
· Schedule interviews with hiring managers, maintain timely candidate communication, and ensure a professional candidate experience.
· Maintain role-wise pipelines and recruitment trackers with accurate status, ageing, source, selection, offer, joining, and drop-out data.
· Support volume and urgent hiring requirements for operations, back-office, voice, support, and supervisory profiles.
2. Offer, Joining & Onboarding Coordination
· Collect and verify pre-employment documents; coordinate references or background-verification inputs whenever applicable.
· Prepare and issue approved offer letters, letters of intent, appointment documentation, and joining checklists as per company process.
· Coordinate induction, policy briefing, employee code creation, ID-card/access requests, workstation readiness, and handover to the reporting team.
· Track offered candidates until joining and analyse offer declines, no-shows, early attrition, and source effectiveness.
· Maintain complete, confidential, and audit-ready employee personnel files in physical and digital form.
3. HR Operations & Employee Coordination
· Maintain employee master data, attendance inputs, shift details, leave records, probation/confirmation due dates, and other HR documentation.
· Support employee communication, engagement activities, training coordination, notices, letters, and routine HR queries.
· Coordinate with payroll/accounts for approved attendance, leave, new-joiner, separation, and deduction inputs within defined timelines.
· Support exit documentation, clearance coordination, asset handover, final attendance inputs, and record closure.
· Handle employee information with strict confidentiality and escalate sensitive matters appropriately.
4. Operations Administration
· Provide administrative support to Operations for shift rosters, meeting schedules, training arrangements, team records, and internal follow-ups.
· Maintain office administration trackers covering stationery, housekeeping, pantry, consumables, maintenance requests, and vendor coordination.
· Coordinate employee access, seating, transport or other operational requirements as assigned and approved.
· Prepare routine MIS, attendance summaries, recruitment updates, pending-action lists, and documents required by Management.
· Ensure records, invoices, quotations, approvals, and supporting documents are filed systematically and available for review.
5. Compliance, Reporting & Process Discipline
· Follow approved recruitment, attendance, documentation, data-privacy, and administrative procedures.
· Share daily/weekly hiring and administration updates, highlighting risks, delays, vacancies, joining gaps, and required decisions.
· Support HR audits, statutory-document coordination, policy acknowledgement, and record retrieval as directed.
· Identify recurring process gaps and suggest practical improvements to turnaround time, data accuracy, and employee experience.
QUALIFICATIONS & EXPERIENCE
Education: Bachelor’s degree in Human Resources, Business Administration, Commerce, Management, or a related
field. An MBA/PG qualification in HR will be an advantage.
Experience: 1–3 years of relevant experience in recruitment, HR coordination, or office/operations administration. Experience in a KPO/BPO, staffing, or high-volume hiring environment is preferred.
