Job Purpose
The Admin Manager will be responsible for managing and coordinating day-to-day administrative and operational activities of the organization. The role will involve internal coordination, security-related matters, government and statutory liaison, external stakeholder coordination, payment/recovery follow-up, documentation, and ensuring timely closure of assigned administrative matters.
The position will also provide administrative support to management and act as an official company representative for coordination with Government Departments, local authorities, and other official agencies whenever required.
Key Responsibilities
1. General Administration
Manage and support day-to-day administrative activities of the organization.
Coordinate with various departments for smooth execution of administrative and operational requirements.
Follow up on pending administrative matters and ensure timely resolution and closure.
Support management in various administrative assignments and special projects.
Maintain proper records, documents, correspondence, and administrative reports.
2. Government & Statutory Liaison
Represent the company before Government Departments, local authorities, and other official agencies whenever authorized.
Coordinate for government-related submissions, applications, notices, permissions, registrations, renewals, and other official matters.
Conduct regular follow-ups with concerned government departments and authorities.
Ensure timely submission of required documents and information to relevant authorities.
Maintain records of government correspondence, submissions, acknowledgements, notices, and follow-up status.
3. Security Coordination & Administrative Control
Coordinate with security personnel/agencies to ensure effective security and administrative control of company premises.
Monitor security-related issues, incidents, access control, visitor movement, and other security concerns.
Coordinate with local authorities/police whenever required for security-related matters.
Investigate and report security or administrative incidents to management as required.
4. Payment, Recovery & Follow-up
Assist concerned departments in payment follow-up, recovery, and collection-related coordination.
Coordinate with customers, vendors, agencies, or other stakeholders for pending payments and recoveries as assigned.
Maintain follow-up records and provide regular status updates to management/concerned departments.
5. External Agency & Stakeholder Coordination
Coordinate with external agencies, consultants, vendors, service providers, government officials, and other stakeholders whenever required.
Maintain professional relationships with relevant external stakeholders.
Ensure timely follow-up and closure of assigned matters.
Candidate Profile
The ideal candidate should possess:
Candidates with a background in Police Services will be preferred.
Strong knowledge of government office procedures and official correspondence.
Good understanding of administrative and security processes.
Ability to interact confidently with government officials, authorities, external agencies, and internal stakeholders.
Good communication, interpersonal, negotiation, and problem-solving skills.
