Role Overview:
Responsible for managing project-related documentation, maintaining records, coordinating between office and site teams, and ensuring that all project information is properly organized, updated, and accessible.
Key Responsibilities
Maintain and organize project files, drawings, BOQs, estimates, quotations, work orders and contracts.
Manage 2D/3D drawings, revisions, approvals and submission records.
Maintain project-wise document registers and trackers.
Coordinate documentation between designers, project managers, site engineers, vendors and clients.
Record and circulate site reports, meeting minutes, instructions and approvals.
Track material orders, purchase documents, delivery challans and invoices.
Maintain vendor, contractor and subcontractor documentation.
Update project status reports, timelines and task trackers.
Ensure proper naming, numbering, version control and filing of documents.
Maintain soft-copy and hard-copy records with proper backup.
Prepare project-related MIS reports and management summaries.
Follow up with concerned team members for pending documents, approvals and submissions.
Maintain confidentiality of client, financial and project information.
Support the Project Head/Management with administrative and documentation requirements.
Required Skills
Good knowledge of MS Excel, Word, Google Drive and PDF documentation.
Strong documentation and record-management skills.
Good written and verbal communication.
Ability to coordinate with multiple departments and site teams.
Attention to detail and accuracy.
Knowledge of interior design/construction project documentation is preferred.
Ability to maintain multiple project trackers simultaneously.
Basic understanding of drawings, BOQ, quotations, purchase orders and site documentation.
