Admin Roles & Responsibilities – Interior Design Firm
Manage day-to-day office administration.
Maintain client files, project records, and documentation.
Prepare quotations, work orders, invoices, and purchase orders.
Coordinate with clients, vendors, contractors, and suppliers.
Schedule meetings, site visits, and project timelines.
Track project progress and update management regularly.
Maintain attendance, leave records, and employee documentation.
Handle office correspondence, emails, and phone calls.
Monitor office inventory and procure stationery and office supplies.
Maintain records of material orders, deliveries, and payment schedules.
Coordinate with accounts for billing, vendor payments, and client collections.
Organize contracts, drawings, approvals, and project-related documents.
Maintain MIS reports, project trackers, and administrative reports.
Ensure compliance with company policies and office procedures.
Support HR activities such as onboarding, documentation, and employee records.
Coordinate travel, accommodation, and logistics for management when required.
Assist the design and project teams with administrative support.
Maintain confidentiality of company and client information.
Ensure smooth communication between the office, site teams, and management.
Key Skills
Strong communication and coordination skills
Good knowledge of MS Excel, Word, and Google Workspace
Ability to manage multiple tasks and deadlines
Documentation and record management
Vendor and client coordination
Time management and organizational skills
Basic accounting and billing knowledge (preferred)
Familiarity with project management tools (preferred)
