We are seeking a versatile, organized, and professional Front Desk Executive to manage daily administrative tasks and ensure the smooth operation of our office. As the first point of contact for our company, you will be the "face" of the brand, maintaining a welcoming environment while providing essential support to all departments.
The ideal candidate is a proactive multitasker with excellent English communication skills and a strong command of Microsoft Excel.
1. Front Desk & Communication
Serve as the primary point of contact; greet visitors professionally and direct them appropriately.
Manage the switchboard: answer, screen, and route incoming calls.
Handle general office emails and correspondence with high linguistic accuracy.
2. Administrative Support & Data Management
Maintain accurate records using Microsoft Excel (data entry, tracking logs, and basic reporting).
Provide comprehensive support to management, including filing, photocopying, scanning, and managing both physical and digital records.
Assist in scheduling meetings, booking conference rooms, and coordinating company events or travel arrangements.
3. Facility & Supply Management
Monitor and order office supplies (stationery, kitchen, and cleaning items) to maintain optimum stock levels.
Coordinate with maintenance vendors (cleaning, IT support, building management) to ensure equipment and facilities remain operational.
Manage all incoming and outgoing mail, couriers, and deliveries.
4. Basic Finance Coordination
Assist the finance department with basic tasks such as organizing expense reports and verifying invoices.
Manage and track petty cash (if applicable).
Experience: Minimum 1+ year of experience in a front desk, reception, or administrative role.
Language: Fluent in English (both written and verbal) is mandatory. Ability to communicate clearly and professionally is essential.
Technical Skills: Proficiency in Microsoft Excel (sorting, filtering, basic formulas) and the wider MS Office Suite.
Education: Bachelor’s degree or equivalent preferred.
