Job Summary
The Event Coordinator is responsible for planning, organizing, and executing company events, exhibitions, dealer meets, product launches, technical seminars, employee engagement activities, and promotional campaigns. The role requires excellent coordination, vendor management, budgeting, and communication skills to ensure successful event execution and brand visibility.
Key Responsibilities
Plan and coordinate corporate events, dealer meets, customer meets, exhibitions, product launches, and promotional activities.
Coordinate with internal departments to ensure smooth event planning and execution.
Identify, negotiate, and manage vendors, event agencies, hotels, caterers, decorators, and logistics partners.
Prepare event budgets, obtain approvals, and monitor expenses within the approved budget.
Manage venue selection, booking, permissions, and event schedules.
Coordinate transportation, accommodation, food, event materials, and guest hospitality.
Ensure branding materials such as banners, standees, brochures, display units, and promotional items are arranged before the event.
Coordinate invitations and registrations for customers, dealers, architects, engineers, contractors, and other stakeholders.
Coordinate with sales and marketing teams during product demonstrations and promotional campaigns.
Handle event documentation, attendance records, photographs, videos, and post-event reports.
Resolve on-site issues promptly to ensure smooth event execution.
Prepare event calendars and ensure timely execution of all scheduled activities.
Monitor event effectiveness and collect participant feedback for future improvements.
Ensure compliance with company policies and safety standards during events.
Qualifications
PUC/Diploma/Any Bachelor's Degree or any related field.
Salary
CTC upto 25K per month & other variables.
Experience
2–5 years of experience in event coordination, exhibitions, corporate events, or marketing activities.
