Job Summary

We are looking for a Spare Parts Executive to manage the day-to-day operations of the spare parts department in an automobile dealership. The candidate will be responsible for inventory management, parts identification, workshop coordination, customer handling, and ensuring timely availability of spare parts.

Key Responsibilities

• Manage daily operations of the spare parts department.

• Identify and issue the correct spare parts as per vehicle model and job card requirements.

• Coordinate with the workshop and service team for timely parts availability.

• Handle customer enquiries regarding spare parts, availability, and pricing.

• Prepare quotations, invoices, and related documents.

• Receive and verify incoming spare parts.

• Maintain accurate stock records in the DMS/ERP system.

• Monitor minimum and maximum stock levels and raise replenishment requirements.

• Coordinate with suppliers for parts availability and timely delivery.

• Maintain proper storage and identification of spare parts.

• Conduct regular physical stock checks and reconcile inventory differences.

• Monitor fast-moving, slow-moving, and non-moving parts.

• Follow up on pending and back-ordered parts.

• Handle parts returns and warranty-related parts as per company procedures.

• Support the workshop team in ensuring timely vehicle delivery.

• Prepare daily, weekly, and monthly spare-parts reports.

• Maintain proper documentation and follow dealership policies and procedures.

Requirements

• Diploma / bachelor's degree preferred.

• 1–3 years of experience in automobile/two-wheeler spare parts or dealership operations.

• Basic knowledge of two-wheeler spare parts and components.

• Knowledge of MS Excel and DMS/ERP software.

• Good communication and customer-handling skills.

• Strong inventory-management and organizational skills.

• Ability to coordinate effectively with workshop, sales, accounts, and customers.
