Job Summary
The Executive Assistant will provide administrative and operational support to senior leadership, ensuring smooth day-to-day functioning, effective coordination, and efficient communication. This role requires excellent organization, confidentiality, multitasking, and a proactive approach to managing executive priorities.
Key Responsibilities
1. Executive Support
Manage calendars, appointments, meetings, and travel schedules for senior management.
Prepare meeting agendas, minutes, presentations, and follow-up action items.
Handle confidential information with absolute discretion.
Maintain daily task lists, reminders, and priority tracking for executives.
2. Communication & Coordination
Act as a point of contact between the executive office and internal/external stakeholders.
Draft emails, letters, reports, and communication materials.
Coordinate cross-departmental activities, ensuring timely flow of information.
3. Administrative & Office Management
Organize documents, maintain filing systems (digital & physical).
Handle expense reports, reimbursements, and basic financial documentation.
Oversee logistics for meetings, events, and business travel.
4. Project Assistance
Support ongoing projects by tracking deadlines, preparing summaries, and coordinating with teams.
Collect and compile data for reports and presentations.
Assist in research and documentation for strategic initiatives.
5. Operational Efficiency
Identify operational gaps and suggest solutions to improve workflow.
Ensure timely execution of tasks and follow-ups on pending issues.
Manage vendor coordination for office or executive needs (if required).
