Job Description – Books and Dispatch Keeper
1. Record Maintenance: Maintain accurate and up-to-date records of incoming and outgoing goods, dispatch documents, and stock ledgers (both physical and digital).
2. Inventory Tracking: Monitor daily inventory levels, verify stock availability, and coordinate with procurement or sales teams for timely replenishment.
3. Dispatch Coordination: Prepare dispatch schedules, ensure correct packaging and labelling of materials, and coordinate with transporters/couriers for on-time delivery.
4. Documentation & Filing: Manage invoices, delivery challans, and dispatch slips; file and archive all records systematically for easy retrieval and audit readiness.
5. Bookkeeping Assistance: Support in maintaining basic financial entries related to dispatch, stock movement, and supplier/customer billing using Excel or Tally.
6. Communication & Coordination: Liaise with vendors, warehouse staff, and accounts department to ensure smooth operations and resolve dispatch-related discrepancies.
Compliance & Reporting: Ensure all dispatches follow company and statutory requirements, and prepare periodic reports on stock movement, delivery status, and pending orders.
