Role Description:
The Bid Manager is responsible for leading and managing the complete bid/proposal lifecycle—from opportunity identification and qualification to proposal submission and handover. The role involves coordinating with internal stakeholders, developing compelling proposals, ensuring compliance with client requirements, and delivering high-quality submissions within strict deadlines.
Key Responsibilities
Bid Management & Strategy
•
Lead the end-to-end bid process, including planning, scheduling, content creation, review cycles, and final submission.
•
Analyze RFPs/RFQs/RFIs to identify key requirements, risks, and win themes.
•
Establish bid strategies and value propositions in collaboration with sales, technical, and leadership teams.
•
Develop bid plans, timelines, and responsibility matrices (RACI).
Content Development & Review
•
Prepare professional, persuasive, and compliant bid/proposal documents.
•
Gather input from subject matter experts and convert technical information into client-friendly language.
•
Ensure proposals are aligned with brand guidelines, customer expectations, and business objectives.
•
Maintain a library of proposal templates, standard content, case studies, and past responses.
Stakeholder Coordination
•
Coordinate with cross-functional teams (sales, technical, finance, legal, operations, procurement) to gather accurate information.
•
Conduct bid review meetings, risk assessments, and approval checkpoints.
•
Ensure timely internal communication to meet critical deadline requirements.
Costing & Commercials
•
Work with finance to prepare competitive pricing and commercial proposals.
•
Ensure alignment with organizational commercial policies and profitability goals.
Compliance & Quality
•
Ensure all submissions meet mandatory requirements and follow compliance standards.
•
Conduct quality checks on grammar, formatting, accuracy, and structure.
Post-Bid Activities
•
Manage clarifications, presentations, and negotiations with clients.
•
Conduct post-bid analysis and feedback collection to improve future submissions.
Required Qualifications & Skills
•
Bachelor’s degree in Business, Management, Engineering, or related field (MBA preferred).
•
5+ years of experience in bid management, proposal writing, pre-sales, or business development.
•
Strong understanding of RFP/RFQ processes.
•
Excellent written and verbal communication skills.
•
Strong project management and organizational abilities.
•
Proficiency in MS Office (Word, PowerPoint, Excel), Adobe tools, and CRM systems.
•
Ability to handle multiple bids simultaneously under tight deadlines.
•
Strong analytical and problem-solving skills.
Preferred Skills
•
Experience working with government and private sector tenders.
•
Knowledge of proposal automation tools or bid management platforms.
