Job Objective
The Sales Coordinator will support both Domestic and International Sales teams by coordinating sales activities, managing customer communications, handling documentation, ensuring smooth order processing, and facilitating timely execution of orders. The role serves as a key link between customers, sales teams, production, logistics, and accounts to ensure high customer satisfaction and efficient sales operations.
Key Responsibilities
Sales Coordination & Support
• Coordinate with Domestic and International Sales Engineers for enquiries, quotations, follow-ups, and order confirmations.
• Prepare and issue quotations, proforma invoices, commercial offers, and sales related documents.
• Track sales enquiries, leads, and orders through ERP/CRM systems.
• Support sales teams in achieving order closure and customer satisfaction.
Order Processing & Execution
• Process domestic and export sales orders accurately.
• Coordinate with Production, Planning, Stores, and Dispatch teams for timely execution.
• Monitor order status and ensure adherence to committed delivery schedules.
• Provide regular updates to customers and sales teams regarding order progress.
International Sales Coordination
• Prepare export documentation including Commercial Invoices, Packing Lists, Certificates of Origin, and other shipping documents.
• Coordinate with freight forwarders, CHA, shipping lines, and logistics partners.
• Track international shipments and ensure timely delivery.
• Support export compliance and documentation requirements.
Customer Communication
• Act as a primary point of contact for customers regarding order status, delivery schedules, dispatch details, and documentation.
• Handle customer queries professionally and ensure timely resolution.
• Maintain strong customer relationships through proactive communication.
Documentation & MIS
• Maintain accurate records of enquiries, quotations, orders, dispatches, and customer databases.
• Prepare Daily, Weekly, and Monthly MIS reports related to sales activities.
• Ensure proper filing and maintenance of sales and export-related documents for audits and future reference.
Internal Coordination
• Coordinate with Accounts for invoicing, payment follow-ups, LC documentation, and credit-related matters.
• Liaise with Logistics, SCM, Stores, and Production teams for smooth order execution.
• Follow up internally on pending dispatches and delivery commitments.

• Proficiency in MS Excel, MS Word, PowerPoint, ERP, and CRM systems.
• Strong working knowledge and hands-on experience in SAP and Salesforce CRM.
• Knowledge of domestic sales processes, export documentation, logistics, and dispatch procedures.
• Good analytical and reporting skills.
Educational Qualification
• Graduate in any discipline (B.Com / BBA / BA preferred).
• Exposure to Mechanical / Pump / Industrial Equipment industry will be an added advantage.
• Additional certification in Export Documentation, International Trade, Sales Coordination, SAP, Salesforce, or ERP Systems will be preferred.
Experience
• 2–5 years of experience as a Sales Coordinator, Export Coordinator, or similar role.
• Experience in Pump Manufacturing, Industrial Pumps, Dewatering Pumps, Mechanical Equipment, or Industrial Products industry will be strongly preferred.
• Experience handling both domestic and export order coordination will be an advantage. • Immediate joiners will be preferred.
Key Performance Indicators (KPIs)
• Enquiry-to-Quotation Turnaround Time (TAT).
• Accuracy of quotations, proforma invoices, and sales documentation.
• Order Processing Accuracy with minimal documentation errors.
• Timely coordination of orders from receipt to dispatch.
• Accuracy and timeliness of Daily, Weekly, and Monthly MIS reports.
• ERP/SAP/Salesforce data accuracy and discipline. • Effective coordination with Production, SCM, Logistics, Accounts, and Sales teams. • Prompt response to customer queries and service requests.
• Customer satisfaction regarding order execution and communication.
Candidate Preference
