Job Description

1. ••Role Overview

The Personal Secretary will provide high-level administrative and organizational support to the Managing Director (MD) or senior executive. The role requires excellent communication skills, confidentiality, time management, and the ability to multitask in a fast-paced environment.


2. Key Responsibilities

Administrative Support

  • Manage daily schedules, appointments, and meetings.

  • Maintain calendars and organize travel arrangements (tickets, accommodation, itineraries).

  • Draft, review, and manage emails, letters, and official correspondence.

  • Prepare reports, presentations, and documents as required.

  • Handle incoming phone calls and messages professionally.

Coordination & Communication

  • Communicate on behalf of the MD with internal staff and external stakeholders.

  • Coordinate internal and external meetings, including agendas, minutes, and follow-ups.

  • Assist in organizing events, conferences, and official visits.

Office & Record Management

  • Maintain confidential files, records, and documents.

  • Oversee office supplies and coordinate with vendors when needed.

  • Ensure smooth functioning of the executive office.

Confidentiality & Professional Conduct

  • Handle sensitive information with the highest level of discretion.

  • Maintain a professional demeanor at all times.


3. Qualifications & Requirements

  • Bachelor’s degree preferred (any discipline).

  • 2–5 years of experience as a Personal Secretary / Executive Assistant.

  • Excellent verbal and written communication skills.

  • Strong organizational and multitasking abilities.

  • Proficiency in MS Office (Word, Excel, PowerPoint).

  • Ability to work under pressure and meet deadlines.
