The Facility Manager is responsible for the overall management, maintenance, safety, security, and smooth functioning of the company's infrastructure, utilities, and support services. The role ensures that all facilities are maintained in a safe, efficient, and cost-effective manner while complying with statutory requirements, GMP standards, health & safety regulations, and company policies.
Key Responsibilities
1. Facility Operations
Manage the day-to-day operations of the manufacturing facility and office premises.
Ensure proper functioning of all buildings, offices, warehouses, utilities, and common areas.
Maintain high standards of cleanliness, housekeeping, and hygiene across the facility.
Monitor facility performance and identify opportunities for operational improvements.
2. Building & Infrastructure Maintenance
Plan and supervise preventive and breakdown maintenance of buildings and civil infrastructure.
Coordinate repairs related to plumbing, electrical systems, carpentry, painting, flooring, roofing, and other civil works.
Maintain records of maintenance schedules and repair activities.
Ensure timely completion of renovation and improvement projects.
3. Utility Management
Monitor and manage utilities including:
Electrical systems
DG Sets
HVAC systems
Air Compressors
Water supply systems
STP/ETP coordination
Fire Hydrant System
Lighting systems
Track utility consumption and implement energy-saving initiatives.
4. Vendor & Contractor Management
Identify and onboard qualified service providers.
Manage AMC contracts for facility equipment.
Supervise contractors during maintenance and project work.
Verify invoices, work completion reports, and service quality.
Ensure contractors comply with safety and company requirements.
5. Security Management
Coordinate with the security department for effective security operations.
Monitor CCTV, access control, visitor management, and vehicle movement systems.
Ensure implementation of facility security procedures.
Coordinate emergency response activities.
6. Housekeeping & Pest Control
Supervise housekeeping staff and outsourced agencies.
Ensure GMP-compliant cleaning practices.
Monitor pest control activities and maintain records.
Conduct regular inspections to maintain hygiene standards.
7. Fire & Safety
Ensure availability and maintenance of firefighting equipment.
Coordinate fire drills and emergency evacuation exercises.
Maintain emergency exits, assembly points, and safety signage.
Ensure compliance with occupational health and safety requirements.
8. Compliance & Documentation
Ensure compliance with Factory Act, Fire Department requirements, Pollution Control Board regulations, and other statutory requirements.
Maintain facility-related SOPs, records, AMC files, permits, and inspection reports.
Support customer audits, SEDEX, SMETA, GMP, ISO, and regulatory inspections.
9. Asset Management
Maintain records of company assets and infrastructure.
Coordinate periodic physical verification of assets.
Manage furniture, office equipment, and facility inventory.
Ensure proper maintenance and utilization of company assets.
10. Budget & Cost Control
Prepare annual facility maintenance budgets.
Monitor expenses against approved budgets.
Identify opportunities for cost optimization without compromising quality or safety.
Track maintenance KPIs and operational costs.
11. Employee Support Services
Manage cafeteria, transport, guest house (if applicable), drinking water systems, and other employee welfare facilities.
Ensure uninterrupted support services for employees and visitors.
Address facility-related employee complaints promptly.
12. Sustainability & Energy Management
Implement energy conservation initiatives.
Promote water conservation and waste reduction practices.
Support environmental compliance and sustainability programs.
Qualifications
Bachelor's Degree in Engineering, Facility Management, Mechanical, Electrical, Civil Engineering, or related field.
Diploma candidates with significant experience may also be considered.
Experience
5–10 years of experience in facility management, preferably in a manufacturing or FMCG/cosmetics/pharmaceutical environment.
