SafeHands is a premium home-services brand in Mumbai delivering managed maid subscriptions, on-demand time-slot cleaning, deep cleaning, and corporate housekeeping. We operate a structured "van-wave" model with standardized SOPs, serving dual-income Mumbai households with consistency, trust, and quality. We are scaling rapidly and need an HR Operations Executive to anchor our people operations, payroll, and statutory compliance.
Role Overview -
The HR Operations Executive will own end-to-end HR operations for SafeHands, including payroll management, statutory compliance (PF, ESIC, Labour Welfare Fund), employee onboarding & offboarding, attendance & leave management, and HR documentation. This role is critical to ensuring that our field workforce (maids, drivers, support staff) is paid accurately and on time, and that all statutory contributions are processed correctly across our Mumbai operations.
Key Responsibilities
Payroll Management
Process monthly payroll for all employees (maids, drivers, supervisors, corporate staff) on time, every cycle
Calculate gross-to-net salary including statutory deductions: PF (12% employer + 12% employee), ESIC (3.25% employer + 0.75% employee), Professional Tax, and TDS where applicable
Maintain payroll registers, payslip distribution, and reconcile payroll with finance
Handle full & final (F&F) settlement for exiting employees
Generate monthly payroll MIS and cost reports for management
Statutory Compliance
Ensure timely PF and ESIC filings, challan generation, and monthly/quarterly returns
Maintain statutory registers under the Maharashtra Labour Welfare Fund Act, Shops & Establishments Act, and other applicable labour laws
Handle contract labour compliance if applicable (Licence, Form V, returns)
Prepare for and support labour department inspections and audits
Stay updated on changes to minimum wages, PF/ESIC rates, and labour law amendments
Employee Lifecycle Management
Manage end-to-end onboarding: documentation, KYC verification, bank account setup, PF/ESIC enrolment
Conduct induction on SafeHands SOPs, policies (including damage policy up to ₹5,000, attendance policy, leave policy)Memory
Maintain employee master database and personnel files (digital + physical)
Process exit formalities: exit interviews, F&F, PF withdrawal/transfer support, experience letters
Attendance & Leave Management
Track daily attendance of field staff using biometric/app-based attendance tools
Manage leave applications, approvals, and leave balance tracking
Generate attendance reports feeding into payroll every cycle
Handle absent, half-day, and overtime calculations for the van-wave scheduling model
HR Operations & Reporting
Handle employee queries related to salary, leave, PF, ESIC, and policies
Maintain and update HRIS / HR software systems
Draft and implement HR SOPs, policies, and circulars
Support recruitment coordination (sourcing, screening, interview scheduling) when required
Generate monthly HR dashboards: headcount, attrition, payroll cost, attendance compliance
Required Qualifications & Skills
Education
Bachelor's degree in any discipline (B.Com, BBA, BA)
MBA/PGDM in HR or Postgraduate Diploma in HR (preferred but not mandatory)
Additional certification in Payroll Management or Labour Laws (advantage)
Experience
1–4 years of hands-on experience in HR Operations and Payroll processing
Prior experience with PF & ESIC portal operations (mandatory)
Experience handling payroll for field/contract workforce in a services company (preferred)
Technical Skills
Strong knowledge of Indian labour laws, PF, ESIC, Professional Tax, and Minimum Wages Actlinkedin
Proficiency in payroll software (e.g., RazorpayX Payroll, GreytHR, Zoho Payroll, or similar)
Advanced MS Excel (VLOOKUP, pivot tables, formulas) for payroll and MIS
Familiarity with HRIS/attendance management systems
Working knowledge of PF/ESIC online portals and e-return filing
Soft Skills
High attention to detail and accuracy (critical for payroll)
Strong communication skills (Hindi + English; Marathi preferred)
Discretion and confidentiality in handling salary and personal data
Ability to work independently in a startup environment
Problem-solving mindset and ownership

₹25,000 – ₹40,000 per month (fixed based on experience and interview assessment)
