A Back Office Executive for HR & Admin ensures seamless internal operations by managing administrative tasks, employee documentation, and day-to-day office logistics. They bridge backend operations and frontend staff, handling data entry, payroll support, recruitment coordination, office inventory, and general office maintenance, often reporting to an HR/Office Manager.
Key Responsibilities
Human Resources Support: Assist with recruitment (screening, scheduling), onboarding/offboarding, managing employee databases (attendance, leave records), and preparing payroll documentation.
Administration & Operations: Manage office inventory, stationery, and vendor coordination. Maintain filing systems (digital/physical), draft documents (letters, emails), and manage courier services.
Data Management & Reporting: Perform accurate data entry into databases and prepare weekly/monthly reports and presentations for management.
Facility Management: Coordinate facility maintenance, housekeeping, and ensure a clean, functional workspace.
Communication: Handle correspondence, including phone calls and emails, acting as a point of contact for internal staff Also Handling Company Social Media.
Required Qualifications & Skills
Experience: 0–1 years in back-office, administrative, or HR support roles.
Education: Bachelor's degree in HR, Business Administration, or a related field.
Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and experience with HR software/databases.
Soft Skills: Strong organizational skills, attention to detail, confidentiality, and time management.
Common Qualifications
Ability to work independently and as part of a team.
Good verbal and written communication skills.
Knowledge of basic labour laws and compliance is an advantage.
