Core Responsibilities
1. Recruitment & Talent Acquisition
Full-Cycle Hiring: Source, interview, and hire candidates across multiple levels of the organization.
Strategic Alignment: Partner with leadership to ensure all business and departmental hiring needs are met.
Vendor Management: Build relationships and manage agreements with external recruitment agencies and headhunters.
2. Office Administration & Management
Front Office & Secretarial Duties: Greet visitors, attend to phone calls, and manage incoming/outgoing emails and physical mail.
Documentation & Data Entry: Operate computers to handle data entry tasks, maintain filing and storage systems, and manage document scanning, copying, and faxing.
Billing & Finance Management: Oversee and process monthly utility bills, including phone, internet, food & beverage (F&B), and other office expenses.
3. Facilities & Vendor Development
Vendor Operations: Identify, develop, and manage vendors for office supplies, maintenance, and administrative needs.
Negotiation: Negotiate contracts and pricing with vendors to ensure cost-efficiency.
Required Candidate Profile
Technical & Operational Skills
Software Proficiency: Strong hands-on experience with MS Office (Word, Excel, PowerPoint) and general computer operations.
Core Functions: Proven experience in Office Management, Administration, Facilities Management, or as a Front Office/Admin Executive.
Soft Skills & Behavioral Traits
Communication: Excellent verbal and written communication skills for handling internal teams, external vendors, and phone calls.
Analytical & Problem-Solving: Sharp analytical skills with the ability to evaluate problems, exercise good judgment, and implement quick solutions.
