Job Description

Recruitment & Onboarding Support

  • Posting job ads on job portals and social media.

  • Scheduling interviews and communicating with candidates.

  • Preparing job offer letters and contracts.

  • Assisting with employee onboarding and induction processes.

2. Employee Records Management

  • Maintaining accurate employee records, both physical and digital.

  • Updating databases with new hire information (e.g., contact details, job titles).

  • Managing employee files and confidential documents.

3. HR Documentation & Compliance

  • Preparing and issuing HR documents (e.g., employment letters, NOCs, warning letters).

  • Ensuring HR practices comply with labor laws and regulations.

  • Assisting in audits and providing necessary documentation.

4. Attendance & Leave Management

  • Monitoring attendance and tracking employee leave records.

  • Managing leave requests and updating the HRIS or attendance software.

  • Ensuring compliance with company leave policies.

5. Payroll and Benefits Assistance

  • Supporting the payroll team with accurate attendance, leave, and overtime data.

  • Assisting with employee benefits administration (health insurance, provident fund, etc.).

  • Answering employee queries related to salary, tax deductions, and reimbursements.

6. Employee Engagement & Communication

  • Coordinating employee engagement activities and company events.

  • Sending internal communications, newsletters, and announcements.

  • Addressing basic employee concerns or directing them to the appropriate department.

7. HR Software & System Management

  • Updating and managing information in the HRIS (HR Information System).

  • Ensuring the system reflects real-time employee data.

8. Exit and Offboarding Process

  • Coordinating the offboarding process including resignation acceptance, exit interviews, and final settlements.

  • Revoking system access and collecting company assets from departing employees.

9. General Administrative Support

  • Assisting in drafting HR policies and procedures.

  • Providing administrative support to HR managers and other departments.

  • Maintaining office supplies for the HR department.
