Job Description

JD for HR & Admin 1)      Should have strong interpersonal skills 2)      Maintaining data of all employees(offering /appointment letters, Increment details, Office Loan– any originals need to keep it safe 3)      Maintain day to day attendance (time sheet) & updating it to HO on weekly/monthly basis, keeping track of all employee leaves, Tours. Short leaves, payroll etc., 4)      Maintaining record of Office Assets, updating it on time to time basis to HO/Regional Manager 5)      Arranging the manpower as per the vacancy & guidelines given by concern Managers Organizing Interview, collecting details, co-ordinating with concern Managers/HR, arranging appointment letters etc., 6)      Time to time payment of monthly bill payments (Internet, electricity, mobile, courier charges etc., ). Timely payment to Housekeeping team.  7)      Time to time payment of Office rents including maintenance. Maintaining Office rental agreement, renewal of agreement. 8)      Get to know the office requirement – Maintain all stationary requirement, pantry requirement, equipment’s/devices, Systems/Laptop for employees, Furniture’s etc., 9)      Periodic servicing & maintenance of UPS, printers, Systems/Laptops/Monitors, Modem, Projectors, Chairs, Cameras/webcam. Creating AMC or renewing of AMC for the required equipment’s/devices.  10)  Organizing & arrange seminars, meetings, exhibitions as per the guidelines by HO & concern Managers 11)  Arranging Travel & Accommodation for employee & guests  12)  Supervise & coordinate with concerns (Office boy/Housekeeping) to ensure to keep Office clean & neat along with maintaining plants.  13)  Maintaining record of store (inward & outward) – components, samples, tools/machines. Keeping it clean by coordinating with concerns (Service, Housekeeping/Office boy) 14)  Sending outstanding statements to customers & calling them for payments on regular basis, updating payment collection statement it to concern Managers on weekly basis. 15)  Coordinating with customers & concern Managers for any legal case filled by HO & updating the status on time to time basis. 16)  Vendor registration: filling up vendor registration document, providing supporting documents, maintaining record of vendor registration details 17)  Sending Invoices/documents, samples as per instruction. Regular maintain of Inward & outward register of sending couriers, samples & any equipment’s/materials. 18)  Office Expense Statement: maintaining all expenses of office & filing it on monthly basis, getting approval from Regional Manager & submitting it to HO. Follow-up with HO for payments. Maintaining office cash, keeping the track of it & updating it to Regional manager on monthly basis. 19)  Employee Expense: Coordinating with all employees for the monthly convenience(Local & Tour expenses), getting approval from concern managers & Regional Manager, sending it to HO on time basis. 20)  Time to time update on Company policies (HR policy, Travel policy, Covid policy) & informing it to all employees as per HO guidelines.  21)  Coordinating with HO for annual Insurance, insurance settlement, ESIC, PF settlement, rectification of issue of employees in Insurance/ESIC/PF 22)  Periodic Maintenance of Guest House. Housekeeping every 15 days, monthly bills of electricity/internet/water etc., Visiting & ensuring all equipment/ furniture’s are maintained neat & clean on monthly basis.  23)    Daily activity of Service team need to be maintained & update it to concern Managers/RM. 24)    Preparing, organising and storing information/records in paper and digital form/system 25)   Organizing & arranging Poojas on the event of Festivals at office\ 26)  Time to time coordination with HO for Catalogues, Diaries, Company gifts.
