Maintain and update all administrative registers including Stationery Register, Courier Register, Visitors Register, and other required logs.
Oversee housekeeping maintenance and ensure cleanliness standards across the office premises.
Manage and place orders for housekeeping materials, stationery, and other office supplies, ensuring cost efficiency and timely availability.
Coordinate hotel bookings, cab arrangements, train and bus bookings based on approved travel requests from CEO and employees.
Negotiate with vendors and source required materials/services for team activities and office requirements.
Verify admin-related invoices along with supporting documents.
Coordinate invoice submission for approval and payment processing in line with company policies.
Maintain proper documentation for audit and record purposes.
Upload daily biometric attendance logs into the HRMS portal for ongoing sites.
Prepare and share daily absent reports with the HR team.
Maintain HR and admin files, ensuring proper documentation, filing, and confidentiality.
Update and maintain employee master data and HR databases accurately.
Prepare, coordinate, and share employee onboarding and offboarding documents in a timely manner.
Send birthday, wedding, and welcome greeting emails through the official HR team email ID.
Coordinate with internal teams and employees through professional and clear communication.
Support HR initiatives, employee engagement activities, and internal coordination as required.
Required Technical & Functional Skills
AI Tools: ChatGPT, Gemini, Google AI Studio, Canva-AI (for drafting, communication, and basic design support).
MS Excel: Strong working knowledge of formulas and functions including Lookup formulas and Pivot Tables.
Documentation: Formatting, printing, record maintenance, and professional document handling.
Email Communication: Drafting and coordinating emails in a professional and business-appropriate manner.
Vendor Negotiation & Sourcing: Ability to negotiate rates and source materials/services efficiently.
