Nanak Properties is looking for an experienced and responsible HR & Administration Manager to oversee the company's HR, administration, employee coordination, and day-to-day office and site management.
This role will involve managing and coordinating with a team of approximately 100 employees across office and project sites, while ensuring smooth communication between the management and employees.
The ideal candidate should be organised, proactive, people-oriented, and capable of handling multiple responsibilities independently.
Key Responsibilities
HR & Employee Management
Manage and coordinate HR activities for approximately 100 employees across office and site locations.
Handle employee attendance, leave records, joining and exit formalities.
Maintain employee records and HR documentation.
Coordinate recruitment, interviews, onboarding, and induction of new employees.
Monitor employee performance, discipline, punctuality, and workplace conduct.
Address employee concerns and grievances professionally.
Support employee engagement and maintain a positive work environment.
Coordinate payroll-related information and ensure timely submission of attendance and salary inputs.
Management & Communication
Act as an effective communication bridge between the Management/Boss and employees.
Communicate management instructions, decisions, policies, and updates to employees.
Collect employee feedback, concerns, and updates and communicate them to management.
Ensure important instructions are followed up and implemented properly.
Prepare regular updates for management regarding employee and operational matters.
Office & Site Administration
Oversee the smooth day-to-day functioning of the office.
Coordinate with project/site teams and monitor administrative requirements.
Keep track of site manpower, attendance, requirements, and operational updates.
Coordinate between office and site teams for smooth workflow.
Ensure office facilities, housekeeping, stationery, equipment, and other administrative requirements are managed efficiently.
Coordinate with vendors, service providers, and external agencies when required.
Maintain proper documentation and records related to office and site administration.
Reporting & MIS
Prepare monthly HR and administrative reports for management.
Prepare reports covering manpower, attendance, leave, recruitment, employee movement, site manpower, and other relevant activities.
Provide management with regular updates on office and site operations.
Maintain HR MIS and employee databases accurately.
Track pending tasks, requirements, and important follow-ups.
Additional Responsibilities
Assist management in implementing company policies and procedures.
Ensure proper communication of HR policies and company rules.
Support performance appraisal and employee review processes.
Assist in organising meetings, employee activities, and company events.
Maintain confidentiality of employee and company information.
Handle sensitive employee and management matters with maturity and discretion.
Ensure compliance with applicable labour and employment requirements.
Identify HR and administrative issues proactively and suggest practical solutions.
Required Skills & Qualifications
Bachelor's degree in Human Resources, Business Administration, Management, or a related field.
4 years of relevant HR/Admin experience preferred.
Prior experience handling a large workforce will be an advantage.
Experience in real estate, construction, infrastructure, or project-based organisations will be preferred.
Strong communication and interpersonal skills.
Excellent coordination and people-management abilities.
Strong organisational and multitasking skills.
Good knowledge of MS Excel, Word, PowerPoint, and HR/MIS reporting.
Ability to prepare professional reports and presentations.
Strong problem-solving and decision-making abilities.
Ability to communicate confidently with senior management as well as site-level employees.
High level of confidentiality, integrity, and professionalism.
Ability to work independently and take ownership of responsibilities.
