We are looking for a Admin Executive to join our team at Upasarg minimum qualification for this role is Graduate and 2 - 5 years of experience.
We are seeking a versatile, organized Administrative Executive to manage daily operations for our 25-person architecture studio. You will handle office administration, facilities management, travel coordination, basic bookkeeping, and management reports. This role is central to keeping our creative team organized, efficient, and running smoothly.
Key Responsibilities
1. Office Administration & Facility Management Maintain the physical studio space to ensure a clean, professional environment.Manage vendors for housekeeping, internet, security, and office maintenance.Monitor, order, and distribute office stationery and printing supplies.Greet visiting clients, vendors, and candidates warmly at the front desk.Handle incoming and outgoing couriers, letters, and sample shipments.
2. Report Generation & Documentation
Create periodic administrative status reports for the principal architects.Maintain digital and physical files for projects, contracts, and internal records.Assist in formatting project proposals, client letters, and presentation documents.Track employee attendance, leave records, and update the internal contact list.
3. Basic Accounting & Bill Management
Maintain petty cash logs with accurate receipt tracking.Verify, process, and file monthly vendor invoices and utility bills.Track and compile employee expense claims for travel and site visits.Coordinate directly with the firm’s external CA / Accountant for monthly payroll.
4. Travel & Site Visit Coordination
Book flights, trains, and cabs for architects traveling to outstation project sites.Arrange hotel accommodations and manage itineraries within the company budget.Coordinate local site-visit logistics and transport for project teams.
Required Skills and Qualifications
Education: Graduate degree in Commerce, Business Administration, or a related field.
Experience: 2 to 5 years of administrative experience, preferably in a small office environment.Tech Skills: Proficiency in Microsoft Office (Excel, Word) and Google Workspace.
Communication: Clear verbal and written communication skills in English and Kannada.
Traits: Strong multitasking abilities, attention to detail, and a proactive attitude.
