The Admin Executive is responsible for overseeing daily administrative operations, ensuring smooth office functioning, and supporting management and staff with organizational and coordination tasks.
Key Responsibilities:
1. Office Administration
Manage day-to-day office operations and ensure smooth workflow.
Maintain office supplies inventory and place orders when required.
Coordinate maintenance of office equipment and facilities.
Handle housekeeping, security, and vendor coordination.
2. Documentation & Record Keeping
Maintain company records, files, and confidential documents.
Prepare letters, reports, and official correspondence.
Handle incoming and outgoing mail and courier services.
3. Vendor & Asset Management
Manage vendor contracts and service agreements.
Process purchase orders and verify invoices.
Maintain company assets and ensure proper tracking.
4. Employee Support
Assist in onboarding formalities and documentation.
Maintain attendance and leave records (if applicable).
Coordinate travel bookings, accommodation, and logistics.
5. Compliance & Liaison
Coordinate with government authorities when required.
Ensure statutory notices and licenses are maintained and renewed.
Handle documentation related to audits and inspections.
6. General Coordination
Support management in administrative planning.
Organize meetings, prepare MOM (Minutes of Meeting).
Ensure effective communication between departments.
