Introduction: The Field Administrator plays a pivotal role in streamlining day-to-day field-level administrative functions and ensuring compliance with company policies and statutory requirements. This position requires a dynamic professional capable of handling field operations, personnel documentation, fleet coordination, asset management, site logistics, and workforce engagement. The incumbent will facilitate smooth coordination between field staff, management, and support departments, ensuring timely updates, reporting, and data-driven decision-making. A strong grasp of Field Operations, MIS, and Logistics Planning will be key in supporting business continuity and operational excellence.
Job Description & KRA
Oversee all field-level administrative functions, ensuring compliance with internal policies and legal regulations.
Maintain, update, and safeguard all employee records, documentation, contracts, and timesheets.
Coordinate onboarding, attendance, field deployment schedules, and separation processes.
Administer travel, transport, accommodation, and local logistics for field teams and project-specific requirements.
Monitor and manage field camp infrastructure, kitchen operations, and resource planning for efficient execution.
Handle procurement coordination and inventory control at field locations as per approved budgets.
Ensure fleet operations are compliant, maintained, and optimized for safe and efficient transport logistics.
Liaise with HR, finance, and legal departments to support audits, reports, and compliance inspections.
Support recruitment efforts by coordinating interviews, documentation, and background verifications in remote sites.
Engage regularly with field staff to resolve grievances, drive motivation, and ensure discipline.
Implement and maintain robust MIS for administrative tasks; generate weekly/monthly reports for senior management.
Coordinate with vendors, service providers, and local authorities for necessary approvals and ongoing services.
Facilitate safety, hygiene, and emergency preparedness standards within the field environment.
Skills & Competencies Required
Administrative Expertise: Strong background in office and field administration processes.
MIS & Analytical Proficiency: Ability to use tools like MS Office, or ERP/MIS systems to generate reports and insights.
HR & Compliance Knowledge: Understanding of HR practices, labour laws, and documentation standards.
Communication & Coordination: Excellent written and verbal communication skills in English and Hindi; ability to coordinate across levels and departments.
Resourcefulness & Problem Solving: Capable of independently handling day-to-day challenges with practical solutions.
Multi-Tasking & Time Management: Ability to manage multiple functions in parallel with strong prioritization.
