Job Description

The Receptionist at Tarun Enterprise is the first point of contact for all clients, visitors, and vendors, serving as the face of the company. This role is crucial for creating a positive first impression and ensuring the smooth, professional, and efficient operation of the front office and administrative support functions.🔑 Key Responsibilities and Duties

Front Office Management:

Greet and welcome all visitors, clients, and employees in a warm, professional, and friendly manner.

Direct visitors to the appropriate person or department, and announce their arrival promptly.Maintain a clean, tidy, and presentable reception area at all times, ensuring necessary materials (e.g., forms, brochures) are stocked.

Communication & Correspondence:

Answer, screen, and forward all incoming phone calls efficiently using a multi-line phone system, taking accurate messages when necessary.Manage incoming and outgoing mail, deliveries, and packages, sorting and distributing them to the correct personnel.Provide basic and accurate information to callers and visitors, both in-person and via phone/email.

Administrative Support:

Assist with various clerical tasks, including photocopying, scanning, filing, and data entry.Monitor and maintain the inventory of office supplies, and place orders as needed to ensure stock levels are adequate.Coordinate and schedule meetings, manage conference room bookings, and assist with calendar management.Support other departments (e.g., HR, Sales) with administrative tasks as required.

Security & Safety:

Maintain office security by following established safety procedures and controlling access via the reception desk (e.g., monitoring visitor logbooks, issuing temporary badges).✅ Required Skills and Qualifications

Education: High school diploma or equivalent is required. Further education or a diploma in office management is a plus.

Experience: Proven work experience (1-2 years preferred) as a Receptionist, Front Office Representative, or Administrative Assistant.

Technical Proficiency:

Competency in Microsoft Office Suite (Word, Excel, Outlook).Experience with multi-line phone systems and standard office equipment (printers, scanners, fax).

Core Competencies:

Excellent verbal and written communication skills.Professional attitude and appearance.Strong organizational and time-management skills with the ability to multitask and prioritize tasks effectively.Customer service-oriented attitude and the ability to handle sensitive information with discretion and confidentiality.Ability to be resourceful and proactive when issues arise.
